Driving Services :
o Provides reliable and safe driving services, transporting UN staff, officials, visitors demonstrating with Strict adherence to UNICEF vehicle policies and procedures, including the use of seatbelts by all passengers :
The highest standards of professionalism, discretion, integrity, sense of responsibility, excellent knowledge of protocol whilst ensuring compliance with local driving rules and regulations.
A client-oriented approach, high sense of responsibility, courtesy, tact and the ability to work with people of different national and cultural backgrounds.
o Delivery and collection of mail, documents and other items.
o Meets official personnel and visitors at the airport and may assist with basic visa and customs formalities and arrangements when required.
Protocol Services :
o Under the supervision of the Protocol officer : Handling all assigned Protocol related errands ( issuance of visas for official travel, entry visa to Jordan and extensions through police stations or border department, obtain residencies through Ministry of interior and work permits through Ministry of Labor when needed, staff driving licenses, customs clearance, TRC and tax department.
o Delivery & collection of regular, confidential and highly classified document for the Jordan country Office (JCO ) & the Regional office (RO) & front line ministries & Jordan GOV departments, International NGOS, local CBOs .
o Provide support to Liaison /Security Focal Point Officer, HR, Finance and Admin as needed.
Documentation ( logbooks, trips registration, reports ):
o Providing accurate daily trips detailed, fully signed log book and register on weekly bases.
o Ensure the proper documentation of passengers daily trip register, trip location, venue, stops narrative & passenger signatures.
Maintenance of assigned vehicles:
o Ensures vehicles are kept in good running condition at all times through addressing minor repairs, making arrangements for major repairs, timely changes of oil, check of tires, brakes, water levels, and car washing & cleanliness.
o Maintain a logbook of vehicle mileage and trip details on a daily basis and report it to the Operations Unit.
o Submit fuel card invoices and report usage to the Operations Unit
o Ensures availability of all the required documents /supplies related to vehicles: Regular track of timely vehicle registration, insurance and licenses, vehicle logs, office directory, map of the city/country, first aid kit, fire extinguisher, a spare wheel kit, a warning triangle communication equipment (regular mobile, wireless net camp and border mobile satellite ) and necessary spare parts in the assigned vehicle; keeps track of insurance and other tax formalities
o Delivery of customer packages
o Present bills and receipts collect payments for goods delivered or loaded.
o Verify the contents of inventory loads against shipping papers.
o Turn in receipts money received from deliveries.
o Maintain records, like vehicle logs, records of cargo, or billing statements, in accordance with regulations.
o Read maps follow written or verbal geographic directions.
o Report delays, accidents, or other traffic transportation situations to bases or other vehicles, using telephones or mobile two-way radios.
o keep records of sales for products from truck inventory.
o Use maintain the tools or equipment found on commercial vehicles, like weighing or measuring devices.
o Perform emergency repairs, like changing tires or installing light bulbs, fuses, tire chains, or spark plugs.
Driving services & logistic department support ( fleet & Procurement ):
o Providing timely and efficient transportation services of IMC authorized personnel, staff& guests in addition to project supplies as scheduled and on emergency request bases.
o Delivery / collection of Mail, office or guest house-related procurement items with supervisor’s permission and in coordination with IMC Finance Department
o Handling Protocol related errands
o Keep IMC Jordan vehicles in good condition at all times.
o Comply with IMC’s standard procedures and regulations in terms of security and logistics as well as relevant local laws.
o Monitor and maintain vehicles’ tracking sheets.
o Ensure pre trip inspection is undertaken on a daily basis and that bi-weekly inspection is undertaken, documented and filed
o Ensure that correct quantity of fuel taken by the vehicle is properly documented on the log sheet
o Ensure that all trips undertaken are properly recorded on the log sheet
o Ensure that all safety precautions like use of seat belt, correct driving speeds and proper loading of vehicle is undertaken as per organizational regulations
o Immediately report to Fleet Assistant any faults or problems observed in the operation of the vehicle for corrective action and resolution
o Ensure the vehicle is kept clean and tidy at all times by following an agreed vehicle washing schedule
o Report to Fleet Assistant in a timely manner when the vehicle is due for service or maintenance to ensure uninterrupted service for program activities
o Report any concerns or unbecoming behavior by staff to Fleet Assistant for follow up and corrective action.
o Participate in scheduled trainings or briefings undertaken by management for drivers
o Willingness to undertake any other reasonable tasks / requests from supervisor
o Prepares, controls, updates, and distributes all required documents regarding consolidation and deconsolidation at gateway level complying with regulations and internal procedures
o Supports PCM Gateway staff in optimization of cargo consolidation
o Ensures customer requirements are met and takes corrective actions in case of deviations from customer requirements
o Interacts with customer service, product and Global Service Centres, If required
o Identifies opportunities to consolidate many shipments into one lot
o Prepares, controls, updates, and distributes all required documents for consolidation complying with regulations and internal procedures
o Interacts with Customer Service, Product, and Global Service Centers, if required
