• Administer monthly payroll generation of group (Qatar, Kuwait, UAE, KSA, Bahrain, Oman, Lebanon, Jordan, Algeria, Cyprus, Ghana & Kenya) and ensure that all transactions (including attendance, additions, deduction…etc.) are entered and updated on the system (1, 500+ Employee - Overall 12, 000+).
• Preparing employees' benefits and submit them to the hierarchy for review.
• Analyze and audit payroll reports; review and check relevant reports and provide a direction to the accounting department as per set procedures.
• Review and control salary structure for shops and the grading system for head office positions and newly created positions.
• Evaluate job positions by determining classification, exempt or non-exempt status and salary.
• Review C&B policies and procedures and ensure company's compliance with internal law and procedures.
• Develop and maintains up-to-date end user training manuals and materials.
• Follow up on all social security and income tax related matters.
• Use of computerized personnel system (HRMS - Oracle application).
• Support in studying the HR Deals in the Regional MENA with the management, allocating all the required information, preparing the Budget, Analyzing it, preparing Proposals, Communicate/ discuss it with the management for approvals.
• Communicate and discuss the agreements renewal/ status/ New HR deals with the clients.
• Support in overseeing the Regional HR operations to ensure and keep the work flow and expand it.
• Handling/ contributing all the Local and Regional HR Processes in regards to recruitment, secondment, personal management, payroll administration and invoicing.
• Assisting in developing HR operation by levarage the current processes ex. (attendance management system, recruitment process, payroll administration, personal management and job description).
• Preparing employees’ monthly projected salaries of which shall illustrate all details in relation to the payroll (salary details, monthly deductions, overtime…etc.).
• Preparing all payroll related documents such as: salary slips, clearance/ settlement letters, salary transfer letters…etc.
• Preparing external invoices, sending them to the clients and following up on their payments.
• Handling all employees’ monthly social security transactions related to additions/cancellations.
• Preparing job offers, employment contracts and advisory agreements for the new joiners.
• Coordinate with the business units and managers to ensure accuracy of information and for feedback and validation.
• Provide forms, workflows and all documentation required for the implementation of the newly devised programs or policies.
• Identifying potential candidates by conducting interviews for the junior and mid-level candidates in order to assess and evaluate their skills, behaviors and attitudes.
• Monitoring employee’s daily attendance (check-ins & check-outs) and taking any necessary actions accordingly (where applicable).
• Maintaining employees attendance records in terms of annual leaves/ vacations (personal, urgent, sick…etc.) as well as related over time records.
• Receive, screen and sort employment applications and CVs to maintain an up-to-date and efficient applications database.
• Receive recruitment requests from the Clients or form the Departments in the company.
• Study and acquire full knowledge of vacant positions’ profiles and job descriptions.
• Search the available database to select and shortlist potential applicants against Company’s vacant posts.
• Preparing recruitment posts and Ads, Advertising for vacant staff positions, reviewing resumes, assisting with inter viewing applicants, and sending follow-up letter s to applicants.
• Conducting all necessary testing as well as inter viewing arrangements of which includes: contacting candidates, reserving meeting rooms, correcting tests…etc.
• Conduct aptitude and competencies tests for successful candidates for better filtering and final ranking.
• Participate with the respective Managers/Departments in the Company for final interviews to check the technical competencies of candidates.
• Preparing HR letter s such as: Bank letters, AR/3, Experience letters, Clearance letters, Disciplinary letters.
• Preparing employee letters related to personnel actions, salary increases, hiring, benefits, and final settlement for the resigned/ terminated employees ...etc.).
