Import / Export Operations
• Monitoring & organizing import/export shipments and operations through teamwork of 7 members, checking & issuing documentation / titles like bills of lading, no objection certificates, invoices, packing lists, certificates of origin, sales letters, police clearance certificates etc., following up with internal & external customers & assisting them as required for timely and smooth operation.
• Reviewing supplier/service provider invoices, generating purchase orders & coordinating with
suppliers / service providers for timely receipt of invoices before the set deadlines.
• Advising Customs clearance procedures & solutions to sellers & buyers for shipments based on the mode of transportation, Customs duty status, point of origin and destination.
• Coordinating refunds of Customs duty deposits after completion of Customs export documentation.
• Reviewing & amending the documentation SOP as required and informing internal & external
customers to ensure cost-efficient & quick import/export process & avoid time-consuming amendments of documents.
Accounts
• Reconciling bank statements of 4 bank accounts with AR daily and posting the payments.
• Posting payments in enterprise software.
• Verifying bidder deposits, applying to respective bidder accounts & assisting with bidder registrations.
• Handling Petty Cash, keeping a running balance and checking receipts submitted.
Teamwork, Team Coordination & Training
• Reviewing auction sale contracts and related documents through teamwork of 7 members to ensure compliance with legal policies & VAT regulations, identify potential risks which might cause delay in payments & ensure contract conditions are met in regard to payment terms & conditions.
• Managing data collection & reviewing data quality and compliance in enterprise software using my skills in MS Excel formulas & Excel VBA and through teamwork of different departments involved.
• Training Customer Service Representatives, new hires and temporary hires in job duties and
acquainting them with company policies.
• Coordinating, reviewing & assigning work and tasks as required.
Records management, filing & archives
• Organizing & maintaining filing / record system both physical & digital for auction sale contracts,
import / export documentations & titles related to an average of 8000 to 10, 000 pieces of equipments
worth approximately USD 160 Million annually.
Achievements using my Microsoft Excel skills and team coordination
• Reduced man hours of different departments by creating automated Microsoft Excel spreadsheet files using my skills in Microsoft Excel formulas & Microsoft Excel VBA for generating different reports.
• Reduced a 9-hour job of sending personalized emails to a 1-hour job by using my skills in Microsoft Excel formulas, Microsoft Excel VBA and HTML.
• Reduced by almost 95%, number shipments being held up at port due to non-availability of documents or documents with incorrect information. Achieved this by organizing shipment documents to be sent to us and having them checked for discrepancies before shipment arrives.
• Reduced by almost 90%, number of customer inquiries by email or phone regarding their payment status. Achieved this by creating an automated Microsoft Excel file to send personalized emails to 100s of customers with their payment details and respective attachments as soon as the payment was made by Accounts Payable.
• Reduced by almost 50%, man hours required for reviewing tax invoices received from consignors which was at-least around 10-15 minutes per tax invoice. Achieved this by creating an automated Microsoft Excel file generating a preview of the tax invoices to be received based on data available in enterprise software
• Tracked shipments & handled documentation & clearance of import & export shipments.
• Prepared documents for presenting to banks against Letters of Credit.
• Sent RFQs & received quotations for freight charges from freight forwarders for export shipments & made bookings and prepared local and foreign purchase orders.
