OBJECTIVES & RESPONSIBILITIES:
• Responsible to perform a wide range of administrative support activities and assistance to the CEO/Chairman of the Board to facilitate the efficient operation of the organization.
• Manage relationships of the CEO with senior external stakeholders (calls, correspondence, meetings, visitors). Maintain the stakeholder relationship database accordingly.
• Streamlining the office communication system, ensuring circulation of critical office memo/ information among staff and serving as a key link between the CEO/Chairman and staff to ensure smooth running of business operations.
• Participating in various social networking extensively with key decision makers to raise knowledge and understanding of the initiatives taken by organization
• Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity
• Take ownership of portfolio’s schedules, arrange appointments (both internal/external)
• Schedule meetings with Executives in the government sector, , Investors & Staff, determine purpose and minimum time required
• Facilitate logistics for internal/external client meetings (F2F, video conferences, Same time meetings) utilizing available resources, ensuring all necessary details are sent to the appropriate participants
• Ensure all documents, presentations & progress reports are prepared ahead of meetings as necessary
• Meet and Greet official delegates visitors and arrange VIP reception
• Arrange & prepare for Board of Directors (BOD) meetings & cascade the minutes of meeting (MoM) to the BOD
• Produce reports, meeting agendas, (MoM) and follow up on action points with relevant team members
• Creates highly effective organizational and filing systems, including quick and thorough indexing, filing, resulting in easy access to critical information and stream lined office functioning.
• Support synthesis of annual action plan with internal/external stakeholders.
• Travel arrangements (airline booking, hotel, transportation, conference room & meetings) and Prepare international travel itineraries.
