• Identify suppliers for all kinds of markets related to PU-AMI’s activities and needs;
• Contribute in assessing and preparing the list of suppliers by conducting the prequalification
process
• Collect necessary documents for procurement procedures as per PU -AMI and donors’
requirements
• Follow up on the procurement process for purchasing goods, assets, and services, from the
initial purchase request to payment and delivery
• Ensure that the format and information on quotes and invoices comply with PU-AMI’s
regulations and procedures
• Stand as the focal point for all the logistical issues regarding the warehouse for the North
base
• Manage and organize the reception, storage and shipping of all supplies at the warehouse;
• Ensure all requests of stock are sent and delivered to the requesters (for example, project
managers, FO) in a timely manner
• Ensure that all archiving is done in compliance with PU-AMI standards
• Prepare the daily report to the logistics manager about the progress of the logistics activities;
• Regularly meet with the other supply-chain and/or program teams in order to organize and
plan the next deliveries and distribution plans and anticipate needs and eventually challenges
• Follow up the rents (office and flat) and fees (internet, electricity, water…for office and flat)
payments
-Making suggestions regarding any repair or maintenance work needed in MSF electrical installations, equipment and/or vehicles and assisting logistics department for any relative work needed.
-Ensuring that all record sheets and books related to logistical maintenance are always completed. Preparing needed reports before and after any repair or required maintenance.
-Managing inventory of spare parts and back-up equipment at mission level and checking and advising on international orders for consumables and spare parts.
-Identifying the equipment requiring after sale services and ensuring their return in medical services. Performing fault diagnosis, curative and preventive maintenance, annual diagnosis and certification for those items of equipment for which specialised training has been received.
-Ensuring the proper documentation, filing and the compilation of the installation and maintenance done or required as well as defining functioning standards and monitoring systems.
- Establishing and renewing policies and procedures related to the maintenance
department
- Responsible of a variety tasks associated with calibration of diverse range biomedical equipment instrumentation to ensure quality control
- Organizing, preparing and moderating meetings to discuss and solve existing issues with colleagues of different departments
- Advise hospital administration on the acquisition and use of biomedical equipment
- Perform other related duties as necessary to support organizational and regional
departmental business quality goals
-Provide technical assistant instruction to personal in the operation and maintenance of equipment
- Provide recommendations regarding purchase of biomedical equipment instrumentation
