Manage, coordinate and maintain calendar of CEO including appointments, meetings and travel.
• Responsible for organizing of internal and external meetings on behalf of the CEO ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, prepare agendas.
• Provide executive and administrative support to CEO.
• Responsible for organizing CEO travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while travelling and completing expenses.
• Monitor and respond to incoming communications (including complaints) to CEO’s office including phone calls, emails and walk ins, ensuring correct department distribution.
• Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments.
• Writing and distributing comprehensive minutes and action points to all members post meeting.
Ensures the diary management (that includes the family and personal matter) of the
Managing Director are properly managed and arranged.
Ensure busy diary commitments, papers and travel arrangements are managed
effectively including producing a daily folder with diary, necessary papers etc.
Filter emails, highlight urgent correspondence and print attachments.
Organize inbound emails into the appropriate folders and any relevant information to
be copied into the correct file on the hard drive.
Respond to emails as much as possible, dealing with appointments, requiring Bio or
photos etc.
Conduct weekly diary meetings with the MD to discuss upcoming engagements,
invitations and other requests.
Ensure the MD is fully briefed on, or prepared for, any engagements he is involved in
Coordinate travel and accommodation requirements relating to others and ensure
arrangements in place for the MD requirements.
Filter general information, queries, phone calls and invitations to the MD by redirecting
or taking forward such contact as appropriate.
Attends to all visitors and guests of the Managing Director making sure that their
business appointment with the later is facilitated.
Arranges travel documents of Managing Director family members.
Ensures housekeeping and maintenance of Managing Director Office.
Prepares correspondences and memorandum to be signed by the Managing Director
and disseminates/circulates them to department managers, Area Managers, employees,
or any business partners concerned.
Executes a systematic filing system ensuring that all important documents are properly
maintained to keep its confidentiality.
Keep and maintain an accurate record of papers and electronic correspondence on
behalf of the MD
Sorts and annotates all the incoming correspondences, proposals and internal
memoranda.
Prepare correspondence on behalf of the MD, including the drafting of general replies.
Provide a service that is in line with the MD’s work habits and preferences.
Social Media Analyst
Manages company social media channels, including Facebook, LinkedIn, Twitter, and
other relevant platforms
Engages in social media presence creation on new and emerging social media platforms
Creates dynamic written, graphic, and video content
Creates content that promotes audience interaction, increases audience presence on
company sites, and encourages audience participation
Assists social media management with large projects, events, and community
management
Works as part of a team to develop large social media campaigns
Analyses and reports audience information and demographics, and success of existing
social media projects
Proposes new ideas and concepts for social media content
Works with marketing and social media team members to coordinate ad campaigns
with social media strategy
Writes and distributes e-newsletters to subscribers
Manages social media communications
Uses timelines and scheduled content to create a consistent stream of new content for
audience interaction while analyzing, managing, and altering schedules where
necessary to optimize visits
Preparation of Memorandum
Issue the copy of the memo to the concerned recipient.
Maintain a filing system of the said memo, reports and other communications.
Forward communication to the concerned Personnel after the notation from the
General Manager
Answer, screen telephone call and transfer it to the concerned recipient.
Arrange conferences, meetings, and travel reservations for office personnel
Receive Branch Report or Complaint and relayed to the concerned Personnel for check-
up and repair. Confirmed and checked from the Branch as to the veracity of the
accomplishment report.
Set or arrange and remind the General Manager of his date of meeting

Visit properties to assess them before showing them to clients.
Contact utility companies for service hookups to clients' property.
