• Answers and screen incoming calls, directs to appropriate persons in department, takes detailed messages.
• Manage communication systems including ensuring that the telephones are answered promptly and effectively: all telephone numbers and fax numbers are correctly maintained at all times.
• Coordinate daily operations and handled office tasks such as correspondence, meetings, shipment, follow up quotation, project site report, file management and database administration.
• Perform clerical duties assigned that include sorting mail, faxed and deliveries for distribution.
• Drafting letters and general day to day correspondence.
• Maintain General Manager Calendar such as: meeting schedule/appointments, travel arrangement, itineraries and expense report for various functions.
• Schedule and confirm appointments for clients, customers and suppliers.
• Prepares reports by compiling, summarizing information: this includes financial tracking and reporting/quotations, contracts, answering inquiries concerning activities and operation of departments and site.
• Maintains personnel files.
• Maintaining the confidentiality of the department with regards to the management filing system.
• Ensure procurement and timely renewal of tenancy contracts.
• Liaison with members of staff in other departments and external contacts with clients.
• Coordinate with travel agency for air tickets and reservation.
• Executive experience and knowledge in communication with people.
• Expert with Administration Procedure.
• Able to solve customers' problems
• Works under pressure, multi tasks, and schedule works in order to meet the deadlines.
• Prepare employment offer letter & contracts for the new staff.
• Prepare annual leave forms for the staff, clearance and resumption from their leave.
• In charge for transportation section in the port.
