• Welcomes visitors by greeting them, in person or on the telephone
• Answer telephone enquiries from customers, attend to visitors and assist other staff in the organisation with their enquiries
• Assist to answer incoming calls and message taking
• Sort and distribute incoming mail to areas and staff within the organization and dispatch outgoing mail
• Write business letters, reports or office memoranda using word processing programmes
• Send email and faxes to customers, bank and other concerned parties
• Operate a range of office machines such as photocopiers, computers and faxes
• Perform administrative duties (including documents distribution/collection/filling)
• Perform HR duties such as
- Prepare monthly time and attendance report
- Process employee vacation leave request
- Staff travel arrangement - business / vacation purpose
- Booking hotel rooms for staff on business trips
• Arranging shipping documents such as invoice, packing list, certificate of origin, etc. for outgoing shipments
• Arrange and book daily outgoing shipments through courier
• Quoting freight charges and other shipping expenses
• Update and compile logistics-related monthly reports
• Other related logistics duties as assigned
• Meet and greet patients and customers and help with their needs
• Schedule patients appointment
• Prepares patient bill
• Answer inbound phone calls
• Maintain patient records and coworker file
• Ensure friendly interaction and communication between patients and coworkers
• Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail
• Coordinates with the suppliers and make necessary order for dental materials
• Handles and manage petty cash
• Maintain account records such as invoices, receipts, etc.
• Balancing of the account on a monthly basis
• receive and count working cash at beginning of shift
• accept cash and checks for deposit and check accuracy of deposit slip
• process cash withdrawals
• perform specialized tasks such as preparing manager's checks, exchanging foreign currency
• receive and verify loan payments, mortgage payments and utility bill payments
• record all transactions promptly, accurately and in compliance with bank procedures
• balance currency, cash and checks in cash drawer at end of each shift
• answer inquiries regarding checking and savings accounts and other bank related products
• attempt to resolve issues and problems with customer's accounts
• initiate and open new accounts
• explain, advise on and promote bank products and services to customers
• identify referral opportunities and make relevant referrals
• ensure compliance with all internal controls and established policies and procedures
