Nature of Duties
• Can handle various business matters, File management, correspondence follow up, drafting official memos / replies and remote office support if necessary.
• Manage and prioritize executive's calendar, following up on appointments, arrange meetings etc.
• Providing secretarial and administrative support to the Chairman/Senior Manager; include bookings, travel arrangements, etc.
• Writing or drafting correspondence, reports and other written materials.
• Reviewing incoming correspondence; initiate replies as appropriate; route matters requiring action by staff or other organizations and follow up to ensure actions are completed.
• Supervising the development and maintenance of the filing system of all governmental and original confidential documents of the company and update these documents before their due dates timely.
• Screen incoming telephone calls for all departments, and in the absence of the recipient of the call takes messages and action wherever possible.
• Attend meetings in order to record minutes.
• Providing support to the secretary as needed.
• Dealing with various departments and overseas projects. Review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow or reporting procedures.
