-In-charged of the logistics of pet transport such as travel arrangements, research on country regulations and requirements, document preparation as well as other transport needs.
-Provide the highest level of customer service to international clients while organizing the details of pet moves, as well as working with internal and external partners and offices around the world to facilitate each animal shipment.
-Schedule all appointments at the origin and/or destination with internal pet handlers and/or drivers and any external vendors like veterinarians, kennels, airlines, etc.
-Organizing boarding and quarantine arrangements as needed.
-Monitor the movement of pets to issue travel updates with the customer and in the internal CRM. During the movement of each animal, daily / regular communication with client, international agents, customs clearance, airlines and ground handling staff will be required.
-Maintain the necessary information in the internal database.
-Work closely with the internal quoting team in order to issue quotes in a timely manner and with the appropriate fees and terms and conditions including insurance.
-Develop and maintain good relationships with veterinarian clinics and service suppliers throughout the Middle East, Central Asia (MECA) region.
-Handling customs clearance. Coordinating with various agencies, such as, Chamber of Commerce, embassies, ministry offices, etc.
- Maintain client supplier relationship with regard to all logistics matters.
- Coordinate with buyers and shippers for timely movement of shipments.
- Advice shippers on documentation, Customs procedures, dangerous goods and other local and destination shipping requirements.
- Ensure timely vessel/flight bookings and monitor all aspects of the movement.
- Advise clients on efficient and cost effective options.
- Effective communications with buyers, shippers and other related parties.
- Manage/investigate customer concerns.
- Support pricing team with required data.
- Regular meeting with buyers and meeting suppliers as permit.
- Preparing logistics reports for clients.
- Obtaining approvals from places such as Dubai Municipality, Airport Authority etc.
- Provide updates to management.
- To respond to a large number of incoming calls & emails, ensuring these are dealt with in a prompt and efficient manner.
- To check delivery time issues and communicate delivery times to the customers
- Ensures that goods are shipped in the most timely and efficient manner (Air/ Sea Shipments)
- Maintain and manage the customer complaint and quality log for review with the team to ensure root cause and corrective actions are implemented and feedback provided to the customer.
- Responsible for Documentation, Customs clearance and shipment delivery.
- Providing competitive quotes for selective clients.
- Responsible for shipment tracking and timely delivery.
- Provide Shipment status report to clients.
- Affect changes to shipping schedules as per client requirement.
- Collate data for management reports.
- Sales invoicing and payment follow up.
- Responsible for monitoring and handling logistics operations for both sea and air import, export and cross trade shipments by liaising with clients, sales executive, service providers, lines, carrier and overseas agents
- Manage all air and sea freight import and cross-trade transactions starting from rates negotiation, space bookings to cargo collection at origin, container placements till departure and arrival at destination.
- Accountable to keep track ongoing different terms of shipment (FOB, FCA, EXW, CFR, DDU/DDP, etc.) for both air and sea freight and accordingly update the shipment status to client.
- Communicate with overseas agents for sourcing and negotiating of competitive rates, giving special instructions for each shipment and creating new agent contacts worldwide.
- Receive booking confirmation from clients and consequently coordinate with operations, sales team and nominate to preferred overseas agents.
- Prepare, produce and address all clients' related quotation/inquiries with promptness to ensure client's satisfaction and business profitability.
