Responsibilities:
First point of contact for any tender enquiries;
Recording of incoming / outgoing correspondence;
Office files management
To received business enquiries
Co-ordinate with clients/ customers, Group Partners
Downloading and sorting tender enquiries;
Issuing drawings and documents to the site teams;
Assisting the estimating and commercial teams;
Preparing of Document Management Procedure as per the project requirements;
Produce logs, transmittals, and other reports as required;
Development and maintaining a record of controlled documents on distribution
To prepare weekly/ monthly/ quarterly/ six monthly/ yearly review
Quotation to vendors, offer preparations, sending it to clients & offer follow-ups
Collect the data/ inputs for offer from clients/ departments
Tenders study and submission to concerned clients
Tender preparations & submission
Maintaining a tender tracker;
Preparing of Folder / File Structure for Hard / Soft copies as per the tender requirements;
Coordinating with sub-contractors for work packs, documents, drawings review;
Preparing of Final Documentation for tender submission;
Technical project background and knowledge including familiarity with engineering documents such as reports, datasheets, lists and drawings;
Compiling presentations and submissions;
Ability to follow systems, procedures and work flow processes and contribute to their improvement.
Providing support of IT Hardware, Software and networks;
Setup PCs, Printers, Scanners & Software Backup /Restore;
Windows & software configuration;
Ensuring that hardware and software systems are maintained;
Providing technical support to users with very different levels of IT knowledge and competence;
Working closely with other departments/organizations to analyze requirements or solve problems;
Job Description:
Preparation of Tender / Pre-qualification, Document Controller for maintaining the Correspondence Documents, Tender Documents & Drawings related with (Consultancy Projects, Building Projects, Marine Projects, Industrial Projects, Infrastructure Works & Environmental Projects, Water Network & Dam Projects, ) Civil Construction Work.
Reporting to Head of the Tendering Department (General Manager).
Arrange documentation packages such as tender drawings, construction procedures, specifications and other important documents.
Experience in tendering, able to prepare pre-qualifications, pre and post tender correspondence, tender queries, clarifications, typing of standard letters, Statements, BOQ etc with great care and confidence.
Update and store all submitted tenders scan documents and reference documents.
Responsibilities:
Type and word-process various documents and electronic information;
Responsible to preparing and providing quotes, acknowledge the purchase order. Ensure all documentation done with respect to completeness of order;
Preparing LPOs, Payment Order, and Invoices;
Prepare different reports and presentation;
Prepare and maintain filing of documents;
Draft different types of reports. Preparing and typing routine covering letters & memos;
Coordinate and communication with Customers, Principals & Suppliers;
Handling customer’s complaint or any incidents;
To ensure proper and timely generation of Sales Invoices, enable us to get our financials on time;
Ensuring that hardware and software systems are maintained;
Pre organized meeting with existing customers, for current and new upcoming business;
Responsible for the tenders inquiries, estimation, preparation and submission of tenders;
Compilation of administrative, financial or technical information;
Responsible for in time deployment of Rental Sets (Hiring / OffHiring);
Monitoring Periodic Maintenance and Services of Deployed Rental DG Sets;
Searching for new prospects for Rental/Sales with the help of available marketing tools;
Responsible to manage Spare Parts inventory control;
Establishing contact with customers;
Providing and efficient support to Technical Team for monthly maintenance and customer complaint;
Order processing alongwith their payment follow up;
Assist to Technical Sales Manager to maintain the sales according to the given target;
Assist in Aksa Diesel Generators and Power Transformer (10 & 20MVA) Sales & Marketing;
Closely in contact with the principals in KOREA and Dubai for the timely dispatch the orders and stock units as well;
Negotiations with suppliers of electrical items when required;
Ensure all communications are aligned with the company policy;
Maintain the office stationery stock and also issue Purchase Orders upon further requirements;

Build and maintain good business relationship with Customers;
Promote Customer relations, acquire new business, develop the existing client base and lead the account management;
Conduct market research on business potentials;
Monitor market trends and competitors’ activities in order to identify new business opportunities;
Coordinates in establishing, implementing and maintaining of quality plans and manuals;
Assesses training need of all subordinate staff and submit it to the executive management;
Interacts with customers and associates for complaint & feed back for continual improvement in profitability and business volumes;
Responsible to coordinate with customer / associates for nominated shipment by Air and Sea.
Keeping update of all documentation, HB/L, MB/L and relevant correspondence with shipper and shipping line for Hellmann’s VIP account WestPoint Home;
Enter all HB/L and MB/L data in online AMS (Automated Manifest System) of US Customs and Border Protection (CBP);
Responsible and ensure to complete AMS filing within time about 100 containers every month under WHP/HWL ocean export project.
Handling all correspondence relating to HB/L, MB/L and shipping documents;
Correspondence with principal and all carrier agents;
Correspondence from shipping lines and other clients;
Responsible to coordinate with upcountry offices in order to make smooth operation;

- One year Post Diploma Training Course of in-class and field training on Nuclear Power Plant Technology, placed in KANUPP INSTITUTE OF NUCLEAR POWER ENGINEERING (KINPOE), KARACHI NUCLEAR POWER COMPLEX, KARACHI from May 29’1 1995 to August 28, 1996.
- After qualifying KINPOE one year Post Diploma Training Course was placed in KANUPP for a period of four months from July 7, 1996 to November 6, 1996 to gain experience and expertise in the Operations of the Plant.
- After successful completion of Post Diploma Training Course at KINPOE, Karachi appointment and posting as Sub-Engineer at CHASHMA NUCLEAR POWER PLANT, Chashma, Kundian-Mianwali, Pakistan.
• Design the Computer Based Personnel Management Statistical System of Karachi Electric Supply Corporation Ltd. and Installed that System in Computer Department, KESC Ltd.
Technical Training of Queue Management System-QVista (Hardware & Software) by EMSE Engineering Co. Inc, Turkey; was held on 22nd to 29th April 2012 in Ankara-Turkey.
DGR Course (Category 6) from SAPS Aviation College, Karachi; was held on 2nd to 6th August 2010.
