HUMAN RESOURCES
• Recruitment & Selection
Responsible for overall process for the recruitment procedures to be followed i.e from getting job requirements, advertisements, receiving & screening of CVs, short listing, recommendations for calling of interviews and pre-selection procedures etc.
• Training & Development
Responsible for overall process for the training procedures to be followed at departmental level of over 350 employees in various cadres i.e. from TNA to arrangements for training courses in line with the preparation of annual training manual as per already assessed training needs.
• Job Analysis & Design
Responsible for overall analysis of specifications for the post and submission of recommendations for job descriptions and placing of post in relevant cadre in consultation with respected section heads / supervisors.
• Attendance Management
Responsible for overall administration of attendance on daily basis with special emphasis on time management in line with the maintenance of attendance rosters.
• Employees Grievance
Responsible for overall management of employees grievances i.e. from accepting their grievance letters, prioritizing the issues, recommending relevant remedial measures and submission of it to HoD for final approval as per rules & regulations already laid down.
• Employees Orientation
Responsible for overall management of employees orientation program as per ISO 9000 requirements i.e. from giving brief introduction about the department and areas of function, filing out relevant ISO formatted proforma and collecting necessary feedback and data for future requirements.
• Human Resource DBMS Management
Responsible for overall operational management of HR Database Management System which includes performance tuning, data up gradation, reports monitoring through IT Manager.
• Correspondences / Mails / Memos
Responsible for drafting letters / memos / mails etc. on daily basis for internal and external concerns.
ADMINISTRATION
• Contracts Scheduling
Responsible for contract scheduling / tender process i.e. disseminating the indent to concerned technical personnel, having BOQ drafted and vetted, making of an estimate and process the case file for allocation of budget, take appropriate measures for sanction and approval accordingly and displaying LTE on departmental Local Tender Enquiry board, having in response bids and make them technically evaluated, preparation of comparative statements and recommended for awarding of contract to feasible supplier(s), monitoring of supplies to be delivered in time and after delivery processing of inspection certificate and clearance of submitted bill through finance department.
• Press Tenders
Responsible for press tender process i.e. disseminating the indent to concerned technical personnel, having BOQ drafted and vetted, take appropriate measures for sanction and approval accordingly and forwarding the advertisement to approved news paper agency for publishing of press tender, technical evaluation, prepare comparative statements and recommended for awarding of work(s) to feasible contractor(s) / suppliers, monitoring of works and/ or supplies to be completed or delivered in time and after completion processing of inspection certificate and clearance of submitted bills.
• Pre-qualification of Suppliers / Firms
Responsible for annual procedure of pre-qualification of suppliers / firms / contractors for carrying out various works e.g. civil, electrical, mechanical, maintenance, fabrication of wooden furniture, office supplies etc. This facet of work also includes suppliers / vendors management, handling of their grievances etc.
• Procurement & Stores
Responsible for monitoring and compliance of overall procedures for procurement of office supplies / stationery items for various departments which also includes procurement of office furniture through predefine procedures as per ISO 9000.
