• Prepare metadata files of drawings and other technical documents (Materials Approvals, Inspections Requests, etc.) and submit them to Consortium’s Document Control & Communication Team (DCC).
• Perform thorough quality checks of the documents to ensure compliance with document numbering conventions, document type, discipline, version of document templates, etc.
• Transmission of the quality-checked documents to Consortium through Aconex.
• Receive the reviewed documents through Aconex and distribute them as per the distribution matrix.
• Maintain high-quality logs and registers of the document controls and submission flows.
• Generate reports of the documents review status, edit and present them to the Project Management as and when required.
• Creation, activation, and control of workflows for internal reviews of documents.
• Timely updating of mail groups and distribution matrix.
• Maintain close coordination with DCC to ensure effective document management; attend meetings and workshops conducted by them.
• Preparation and tracking of all incoming and outgoing letters, e-mails, and general correspondences of Clients and Subcontractors.
• Assist the Project Management with the preparation of contract agreements, and archiving of the contract documents.
• Respond to the queries of Project Management with timely retrieval and delivery of the information.
• Executive-level administrative position to support the Projects Director.
• Acting as the primary point of contact of the Director’s Office.
• Receives and screens calls and emails, and responds to inquiries.
• Effective management and control of project documents, respond to the requirements of Projects Management, and ensuring easy but controlled access to the documents.
• Assist in tracking procurement and financial processes for the projects.
• Assist in the preparation of Letters of Award and Subcontract Agreements.
• Prepare contractual letters to Clients and Suppliers, and maintain a log of all incoming and outgoing correspondences.
• Assist in the formulation and implementation of procurement plans and schedules for projects.
• Establish and maintain a payment tracking system, and prepare cash flow statements of the projects.
• Liaise with projects and other functional units in the Corporate Office to follow up project related issues.
• Assist the Director in the daily routine works.
• Handle international and domestic travel arrangements and itineraries of the Director.
• Arrange and attend meetings and take minutes of the meetings.
• Support the Project Administrator in routine works
• Performing ad-hoc responsibilities and assignments in administrative and staff-related issues.
• Prepare monthly staff forecast reports and time sheets.
• Liaise project site staff and project management in personnel issues such as annual leave, employee benefits, etc.
• Assist in project administrative issues such as visa renewal of staff, medical insurance, staff transportation, accommodation, etc.
• Prepare reports such as site activity reports, manpower flow index, etc.
