• Responsible for providing secretarial and administrative support to all parts of the business.
Duties:
• Filing, archiving, photocopying, scanning and faxing documents.
• Screening calls and taking messages.
• Creating invoices, filing receipts and dealing with all documentation.
• Answering and dealing with incoming and outgoing telephone calls.
• Making travel and accommodation arrangements for staff and workers.
• Preparing correspondence, incoming letter from consultant.
• Performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills, Internet research abilities and strong communication skills are required. Staff in this category may also have the title of department assistant, coordinator or associate.
• Answer and direct phone calls. Organize and schedule meetings and appointments.
• Maintain contact lists. Produce and distribute correspondence memos, letters, faxes and forms.
• Assist in the preparation of regularly scheduled reports. Develop and maintain a filing system.
• Order office supplies. Book travel arrangements. Submit and reconcile expense reports.
• Provide general support to visitors.
• Proficiency in English, Hindi, Punjabi, Urdu and Arabic (only speak) languages; gives an edge to handle different cast of people.
• Effective working relationship with staff as well as clients.
• A complete knowledge about office administration & Motivation-ally oriented.
