• Recording all incoming and outgoing correspondence, drawings, specifications, minutes of meetings and other project documentation and filing computerized records and easy retrieval.
• Maintaining a hard copy reference library of all documentation for easy retrieval of information.
• Prepare material requisitions needed in our department.
• Producing regular reports of outstanding actions and responses on correspondence.
• Scanning of documents for distribution as pdf copies to designated recipients.
• Provides administrative support to technical staff.
• Assisting with auditing and evaluating.
• Coordinates materials or special projects for assigned technical staff or individual which may include preparing material/reports, distributing, and editing, formatting and proofreading material.
• Prepare & maintain documents for ISO certifications for Quality Management System.
• Follow-ups with supplier/s and subcontractor/s.
• Prepares staff and non-staff timesheets, leave applications, clearances, duty resumption, staff joining report, non-staff transfer reports, etc.
• Follow-ups staff and non-staff leave application status, resignation status, staff and non-staff certificate/document requests.
• Arrange/set internal and/or progress meeting.
• Managing pantry concerns like acquisition of items, controlling usage, etc.
• Prepares and reimburse petty cash.
• Attendance monitoring.
• Ensures all documents were properly used.
• Prepares Equipment/Machinery Hiring Request Form, Equipment Breakdown form, Machinery/Equipment timesheets.
• Documentation of records.
• Organize Delivery Notes, Invoices, and Purchase Order Files.
• Making quotation for the items ordered by the clients.
• Handle phone calls such as incoming and outgoing calls and fax machine
• Prepares correspondences to Clients and other Subcontractors.
• Attends to email communication.
• Ensure all hard and electronic copy distribution of controlled documents to focal point.
• Expedite responses to transmittals sent for review/comment.
• Provide a possible service to the customer, give efficient service and satisfy the customer needs; give the exact information about the product.
• Customer Service id the provision of service to the customers before, during and after a purchase
• Educate clients on Backup care program/policies and assist with registration.
• Complete intake process and open cases as needed.
• Place outgoing calls to providers to check care availability and schedule appropriate care.
• Follow communication/update expectations with clients, in accordance with the Backup Care Options policies or other agreed upon time frames set by client.
• Answer phones and respond to customer requests, orders, general customer inquiries, invoice questions, and customer complaints.
• Sell product and place customer orders in computer system.
• Provide customers with product and service information.
