Job Description
1. Prepare, control, and monitor APMC budget.

· Prepare budget for next year's activities such as Representation, Office Supplies, Local and Foreign travels and the like.

· Prepare, submit, and monitor ESAS for payments, reimbursements, liquidations, and purchase requests.

· Check status of requests made to ensure claiming of check/s just in time before due dates for payments.

· All payments made come with Official receipts and are filed for future reference

2. Organize Leasing meetings, work sessions, and roadshows of Leasing managers and associates.

· Coordinate with other secretaries/admin assistants to establish meeting schedule that are convenient for all the attendees.

· Reserve venue and ensure that it is properly equip and ready for the meeting requirements: room set up, facilities such as projector, polycom, IT assistance.

· For travels, make sure that necessary documents such as Travel Order, Travel Memo, FTR (ESAS Form for Foreign travel), E-Tickets and boarding passes (if available at the moment), per diem are prepared, submitted, and provided to employees travelling accordingly.

· Secure flight bookings through coordinating directly to the travel agency

· Arrange transportation arrangement in and out of Manila.

· Arrange hotel accommodation if needed.

3. Organize document filing

· Safekeep copies of transmittals for future reference while everything is logged into an Excel file for easier tracking of documents.

4. Handle email inquiries through Offices email account and eventually endorse to the associate responsible of the building.

5. Help in organizing APMC group events

· Organize logistics of APMC events such as Team building, Halloween, Christmas party, etc.

6. Perform other functions as directed by the immediate superior of the unit assignment from time to time.

7. Handle Project Managers and Building Engineers cash advance and petty cash.
