• Requests quotes and negotiates purchase terms and conditions.
• Issue POs to suppliers and ensure that the purchased products/services meet the required specification and are within budget while maintaining strong relationships with suppliers.
• Review & process orders to ensure that correct orders are delivered to the client/vessels and within the specified budget and time frames.
• Tracks issued POs to suppliers to make sure of timely delivery to client/vessels.
• Maintains requisitions trackers with details of order quantities, values, payment, schedules, status of items, etc.
• Maintains records, report relevant information and prepared any necessary documentation.
• Coordinates with the suppliers for collection and shipping schedule
• Coordinate with the Warehouse team for the inventory for audit and accounting purposes.
• Collaborates with accounts team for all payment related matters.
• Organize the storage and distribution of spares/materials. Ensure that the right spares/materials are delivered to the right location on time.
• Involved in transportation, stock control, warehousing and monitoring the flow of spares/materials.
• Monitoring of crew documents for renewals, crew movement and chopper booking, communicating with Training centers for schedule confirmation & Purchase Order, etc
• Responsible with all matters pertaining Visa applications of seafarers and responsible for the updating of accreditation to Embassies.
• Responsible for Expedite application for the STCW Certificates and SIRB/SRB onboard application as per advised by Crewing Department.
• Support the crewing operations in performing the schedules and planning of crew changes and follow up with relevant parties.
• Assist in travel arrangement of the mobilization and de-mobilization of the crewing staff, including Air Tickets, Visa application, hotel accommodation, etc.
• Ensure candidates are equipped with the relevant requirements (medical, competence certificate /qualification documents).
• Assist on all crew issues.
• Perform data entry, recording, printing and filing duties.
• Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents for the team and department.
• Any other duties as instructed by the Crewing Manager.
• Maintain and organize Director’s schedule and Plan and arrange all travel arrangements for business purpose.
• Maintain daily task list and arrange meetings and appointments.
• General administrative and office duties, such as screening and directing phone, devise and maintain office
filing system, management office assets, resources and ordering supplies.
• Handling incoming and outgoing correspondences including mail, email and faxes.
• Manage and maintain a neat and pleasant appearance of the reception area.
Responsible with all matters pertaining Flag state documents and Visa of seafarers.
• Maintenance and updating of Flag State and Visa Reference File and maintain records of all the documents
and requirements of the embassy.
• Responsible with all matters pertaining Visa applications of seafarers.

• Assist head Liaison officer in processing of contracts of seafarers.
