► Responsible for day-to-day Document Management Workload
► Support Technical project team and other departments.
► Perform document control duties, which includes: registering all the incoming and outgoing correspondence, transmitting drawings and documents and other related documentations from project site.
► Can provide daily admin role as well as project division secretarial roles to the project team and department for proceeding efficiently and without difficulties during the operations.
► Provide personal and technical assistance and clerical support to the project control team as required. Duty includes: assistance and support to company representative, project control manager and discipline engineers.
► Responsible for managing emails, queries and distributing to the concern personnel for their information.
► Consolidate all progress reports from project site and submitted to each department head for weekly progress report and project cost and schedule.
► Maintain the project master document register for trucking all technical and non-technical documents.
► Preparing expense report such as (Travel Order, Medical Expenses and other personnel business).
► Compiling all related invoices for the expense report and travel order for record and back-up.
► Provide other related document such drawings, transmittal and other specification needed during the audit.
► Coordinate with the OOK & IK team with regards on the documentation requirements.
► Responsible in monitoring stationary inventory, supplies and purchasing orders.
► Maintain confidential records and files.
► Distribute all the technical documents issued by the contractor to all relevant engineers as well as department head.
► Ensure document submission are complete and accurate as per the engineer response.
► Monitoring technical documents to ensure accurate document trucking and meet project deadlines.
► Ability to utilize multiple word-processing and database application including: SAP, Adobe and Microsoft Office Application.
► Filling organizing and maintaining all documents (contract document/drawings, specification, Pre-qualification, ITP, MS, NCN, SDR, Calculation, Test Report, RFIs.
► Effectively follow the company’s standard operating procedure in submission of document.
► Filling, Organizing and maintaining all documents (contract document/drawings, specification, contracts etc.)
► Attend progress meeting as required and providing details needed in the meeting.

Duties & Responsibilities:
• Maintain project documentation such as reports, correspondence and other documentation related to Procurement &
Inspection.
• Tracking, filing, provide & control numbering, and preparation of all the Project Documentations related to Procurement &
Inspection. Ensuring that all documents are issued with the transmittal system. Keeping register, log, record, scan, track,
issue, retrievals of documents and ensures that all documents are well checked and submitted on time. Expediting
documentation, necessary follow-ups with concerned units involved in the document, taking correct action to guarantee the
availability of documents to required timeline.
• Maintained accurate record of the receipt and issue of transmittals in hard copies and electronic files, directories.
• Working in SAP system to provide vendor information and limitation for procurement & inspection requirement to complete
the review and approval.
• Control Technical Document Register (TDR) to ensure the status of all Technical Documents until getting the approval and
control, filing/archiving Correspondences, Drawings and Technical Documents, MR, TBE, Data Sheet, TQs, Specification,
Calculation, Pre-Qualification, and other company official non-technical documents
• Perform document control duties, which includes registering all the incoming and outgoing correspondence, transmitting
drawings EPC documents and other related documentations from project site.
• Uploading inspection files to SAP system with IL reference number for Company records and information.
• Arrange meetings, company events, and prepare materials needed for presentation (Handout, Refreshments, Invitations.
• Ensure the effective running of the day-to-day operations of the document Managing all administrative work involved in the
compilation and submission of documents under the direction of the Sr. Project Engineers and Company Representative.
• Ability to plan, organize and coordinate the Document Control functions within the group, to meet the needs of the projects
and Companys quality requirements and timely deadlines.
• Coordinate with the OOK & IK team with regards to the documentation requirements

► Ensure proper document classification, sorting, filing and proper archiving.
► Supports technical projects and departments.
► Provides administrative support to all technical staff & management.
► Assisting the Section Manager in the evaluation and preparation of Method statement.
► Preparing quotations about company products and services.
► Submit Material Submittals, Method Statement, ITPs, Shop Drawings, RFIs, Project Schedules, Technical
Documents, Work Inspection Request, Material Inspection Request and Correspondences for Main
Contractor and Consultants approval and closely monitor of the status.
► Safe keeping of all confidential documents of the projects.
► Keep up to date the records/registry of all outgoing and incoming submittals/documents such as Incoming
and Outgoing Correspondence, Shop Drawings, Material Submittals, Request for Information (RFI),
Inspection and Test Plan (ITP), Method Statements, O&M Manual, Training Manual, Final Turn over
Documents, Testing & Commissioning and As-built Drawings.
► Supervise/train assistant members to compile the needed documentation to meet deadlines/ submission
schedule.
► Keep track of all company records by looking through both hard files and computer database files on a
regular basis and ensure that electronic back-up files are updated and maintained.
► Maintain stick files in an orderly manner and production of status reports for weekly / monthly meetings.
► Respond to queries regarding revision status of issues drawings / documents from engineering / drafting
personnel.
► Archiving data for historical purposes.
► Liaise with Main contractor and consultant regarding technical submittals requirements.
► Response to all client’s query.
► Handles basic Troubleshooting of computers/printers/scanners/copiers. Perform other duties such as
answering phone, filing, and scanning, copying, collating, and other tasks as required
