Duties and Responsibilities:
Directly reporting to Group HR Manager and provide secretarial assistance as
necessary
Assist in candidate selection process by screening CVs and sending out emails to
prospective candidates
Perform headhunting by using resources such as bayt.com, LinkedIn, Naukrigulf,
newspaper ads and other possible sites; place job advertisement if needed
Arrange interview schedule for shortlisted candidates
Send out job offer to candidates who passes technical and HR interviews; negotiate if
needed based on company standard pay structure and candidate’s qualification
Assist in coordinating with manpower agencies in hiring skilled and non-skilled
workers
Draft job description for all positions and organization charts for each division
Draft memorandum and circulars for distribution within the Group
Assist and guide company subsidiaries in all HR related matter
Support HR team members if necessary
Other Tasks:
Liaise with travel agencies for the flight ticket booking and arrangement of
temporary hotel accommodation for incoming employees who are hired from
outside Qatar
Assist employees in their official business travel by booking their tickets and
arranging hotel reservations
Handles corporate event from planning, budgeting, and logistics to event execution.
Handles petty cash expenses for all companies for pantry and toilet consumable
supplies
Assist and coordinate with Legal Department for the preparation of all offices’
sublease contracts
Coordinate with cleaning and hospitality services company for contracts of teaboy
and cleaner for each subsidiary
Provides administrative & clerical support to HR Team and perform other tasks as
may be required
SCADA (Supervisory Control and Data Acquisition)
Duties and Responsibilities:
Monitor daily attendance of regular and contractual employees
SCADA HRIS (Human Resources Information System) Time Admin; consisting of 60 regular personnel and executives
Monitor, encode and control employees’ leave balances and overtime notices
Prepare tardiness and sick reports
Generate and check Timesheets every payroll period
Encode charge account / Internal Order in SAP system
Monitor and file corresponding penalty for violated rules on tardiness and vehicular accidents
Prepare monthly report for submission to the office of the head
Prepare employees’ monthly meal, driving and provincial allowances
Conducts inventory of office supplies and forms to ensure availability
Update Table of Organization on a regular basis
Prepare Memorandums if necessary
Assist co-employees in filing their loans and benefits
Supervise in filing system
Attend to phone calls and other office related matters
Control of incoming and outgoing correspondence
Duties and Responsibilities:
Prepare project proposals and requirements
Prepare, issue, and deliver or implement marketing materials to prospects, clients, and partners
Document the company’s activities and projects
Facilitate Billing and Collections procedures
Schedule presentations and other relevant meetings
Coordinate administrative procedures for projects and regular in-house activities
Maintain Client Profiles on a regular basis
