Contract
1. Specify objectives and set clear standards for the transparent and competitive recruitment and selection processes including updated job descriptions, proper job classification, vacancy announcement, screening of candidates, organization and chairing of interview panels, making recommendations on recruitment.
2. Accountability of end-to-end cycle of recruitment trips for bulk vacancies thru existing recruitment agencies or exploring new agents.
3. To maintain relations with embassies and work in coordination for any recruitment matters.
4. Documenting the internal movements in the company as per polices & procedures
5. Responsible for timely updates to concerned departments through weekly/monthly reports or as per business needs.
6. Performing exit interviews with support staff separating from the company.
9. Participates in career events, conferences and community job fairs as needed.
• Administering and coordinating manpower, recruitment & on-boarding activities while ensuring that GIICO attracts and hires best-fit candidates;
• Administering personnel activities such as monitoring employee’s attendance, processing of leave & business travel applications, loans requests, etc.;
• Preparing and processing monthly payroll to ensure timely payments of salaries, benefits and pensions;
• Coordinating departments/sections training needs and training delivery;
• Collaborate with all departments/divisions to assess their short term and long-term staffing needs.
• Administer and execute the recruitment activities including sourcing, screening, interviewing, testing and selection.
• Coordinate all recruitment activities with a third party (Recruitment Agency, Head Hunters, Consultants, etc.) ensuring proper communication with all concerned parties to execute all related activities in a timely manner.
• Identify the best matching profiles for vacant positions through screening of all received applications and CVs and through conducting background and reference checkup.
• Prepare employment offer to successful applicants, obtain their signatures and negotiate the job offer with the applicant (if required).
• Monitor employee’s absence and attendance and ensure compliance with GIICO working hour’s policy.
• Receive employee’s problems and complaints and meet
• Administer grievance and disciplinary activities and settle down work-related conflicts through providing proper advice and recommendation to the concerned parties.
• Respond quickly to employee’s enquiries related to workplace environment, HR policies, salary, benefits, code of conduct etc.
• Arrange with concerned parties to execute planned events related to social gathering, sports team or clubs in order to foster GIICO culture and image.
• Prepare all related letters such as termination letters, warning letters, experience letters, etc. and forward it to concerned parties for review and approval.
• Prepare reports that cover all recruitment, employee relations and payroll for the Direct Manager, as requested.
HR Associate Tasks:
• Recruiting - Creating and maintaining general onboarding/administrating the arrival of new recruits and associated documentation and/ materials;
• Familiar with overseas recruitment;
• Ensuring onboarding materials are up to date;
• Coordinating staff/ clients training and development events;
• Counselling staff about any problems they may have, either at work or personally;
• Scheduling job interviews and assisting in interview process;
• Ensuring background and reference checks are completed;
• Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.);
• Work on the attendance and leaves (annual leave, sick leave, etc...);
• Maintain HR files with all relevant documents and employee information electronically and in hard copies;
• Responsible to organize HR events like - Birthday’s, fun hours, farewell, etc..;
• Advice employees on company’s policies and procedures and Kuwait labor law;
• Respond to employees quires on leaves, resignations, end of services, etc..;
• Handling visa issuing and hotel accommodation required for the guests;
• Managing the exit interview process and reporting on feedback;
• Administering new employment assessments;
• Acting as primary point of contact for new hire’s general questions and managing communication flow;
• Coordinate HR projects (meetings, training, surveys etc); and
• Deal with employee requests regarding human resources issues, rules, and regulations.
PA tasks:
• Diarizing meetings and fixing them when required for the tax partner;
• Keeping a log of all international dialed phone calls by the Partner;
• Attending meetings with the partner and taking minutes of such meetings; and
• Handling travel arrangements required for the partner.
