I'm working as executive secretary for the assistant superintendent in ACA
Duties:
• Organizing and servicing meetings (producing agendas and taking minutes).
· Arranging and scheduling appointments, meetings, and travel arrangements for the assistant superintendent.
· Maintaining calendar for the Assistant superintendent
· Greeting visitors, Answering calls, and mails for the Assistant Superintendent.
· Acting as information source regarding policies and procedures.
· Establishing and maintaining administrative and confidential files.
· Typing a variety of minutes, correspondence, memos, and other documents.
· Receiving complaints, taking corrective action, or refers to proper person for resolution.
· Assisting the Assistant Superintendent in the work of both Registration and Database departments.
· Assisting the Assistant Superintendent in preparing surveys.
• Assisting the Assistant Superintendent in gathering information and preparing reports for the board.
• Booking tickets & making hotel reservation.
Working as Secretary & Coordinator for Top Management ( Group CEO, Deputy CEO & CFO ), the following are the tasks that I'm handling : Handling incoming / outgoing calls. Meeting and greeting clients and visitors to the company. Preparing and managing correspondence, reports and documents. Arranging appointments for managers. Creating and modifying documents using Microsoft Office. Organizing and servicing meetings (producing agendas and taking minutes) Faxing, printing, photocopying and scanning. Updating, processing and filing of all documents Making Invoices & Transfers for Finance Department. Calling clients & vendors for receiving contracts & cheques. Translating Contracts. Calling candidates & arranging appointments for HR Department. Booking tickets & making hotel reservation. Managing office equipment. Making Shipments & follow up the Clearance Process. Checking CTC Website & Al Kuwait Al Yawm for new tenders, preparing the needed papers for applying & follow up the results.

Employees using Oracle E- Business Suite for Accounting Tasks. Handling tasks related to Account payable. Preparing invoices, manual cheques, transfer telex and payments. Ensuring incoming revenues are handled in a timely manner. Responsible for all company secretarial functions, duties and responsibilities. Updating and maintaining all licences and Companies House records. •Ability to write business correspondence including emails, letters, sales proposals, and PowerPoint presentations
Preparation of payments, cheques, etc. Record of all contract cost and ensure the cost being recordedas per company policy. Recording and reconciliation of intercompany transactions. . Maintaining general ledger and sub ledger accounts.
