Duties and Responsibilities:
Receptionist:
• Serve visitors by greeting, welcoming, and directing appropriately.
• Promptly answer, screen and forward any incoming phone calls while practicing confidentiality and sensitivity in providing information as per established standard operating procedure.
• Receive and keep a record of daily mail/deliveries/couriers securing handover to the proper recipient with 0% lost or misplaced items.
• Arrange and send documents/parcels for courier with accurate details of receiver with no record of returned item due to wrong recipient resulting to no undesired additional courier expenses.
• Coordinate with courier services on sending and tracking of shipment, delivery charges, transit time and paperwork requirements; serving as the point of contact when an issue with the shipment arises addressing such in a timely manner.
• Sort courier services invoices, double-checking the details and figures and submitting to the accounts before due date, avoiding late processing of payment.
• Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
• Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
Secretary:
• Consolidate reports and create report format using Microsoft Power Point / Excel for Senior Management maintaining confidentiality of information all the time.
• Send calendar invite on behalf of the CEO for management meetings ensuring the accuracy of details provided (topic, time and date, location, teleconference nos. when needed).
• Handle the documentation of travel expenses of the CEO.
Duties and Responsibilities:
• Assist in supervising and tracking the rental properties and financial transactions of the tenant such as rents, renewal, and property expenses.
• Prepare/update contracts of lease according to established management procedure and documentation resulting.
• Create new/update renewal entry of clients in SAP ensuring that all details and figures are accurate.
• Label and file financial materials according to the established records management procedures, checking the accuracy of details presented to avoid discrepancy.
• Label and file documents/materials according to the established procedures and maintain organized filing.
• Update and monitor the database of tenants’ lease details.
• Prepare renewal and notice correspondence to send out to tenants.
• Assist in liaising with tenants ensuring that complaints and inquiries are being attended to efficiently and effectively.
• Prepare inventory and purchase requisition report for office supplies using SAP ensuring that basic supplies are always available.
Duties and Responsibilities:
• Prepare Radio Station License applications and permits for submission to National Telecommunication Commission (NTC) Offices.
• Assist in gathering of RSL licensing documents in preparation for inspection reports.
• Assist in maintaining of RSL licensing documents.
• Encode/update RSL database and ensure data accuracy.
• Maintain organized document keeping.
• Coordinate with NTC personnel for immediate issuance of order of payment and OR for filed applications.
• Assist Sr. Licensing Officer on NTC liaison works.
• Assist on filing the inflow/outflow of RSL documents.
• Update, monitor and endorse newly released RSL permits.
• Facilitate internal movement of RSL licensing documents.
• Sort incoming mail, faxes, and courier deliveries for distribution.
• Prepare and send outgoing faxes, mail and courier parcels.
