Research Appointment Specialist

HR Operations/Recruitment:
•Manage end-to-end recruitment process of faculty, staff and research appointments, including posting of job advertisement on Interfolio and other job boards, pre-screening, coordinating interviews of candidates across hierarchies, salary negotiations and conducting reference checks.
•Execute administrative tasks such as confirmation of appointment, transfer, reconfirmation, increment and resignation of employees on Oracle HRMS.
•Generate HR-specific reports like master data, change of employee status (designation/department), employee headcount, leave tracker, gratuity, etc.
•Apply for required internal and external (TAMM) approvals of candidates, prepare offer letters, conduct salary negotiations of new hires, and coordinate with PRO for new and renewal of visas, and also manage medical and Emirates ID formalities.
•Draft employee contracts of new hires, contract renewals of existing staff, initiate contract amendments for change in status, benefits & change of assignment, and update them on Oracle HRMS.
Employee Onboarding, Orientation & Offboarding:
•Collaborate with respective departments to plan and execute the new hire onboarding process.
•Conduct orientation sessions for new hires.
•Facilitate smooth offboarding of employees by verifying and ensuring adherence to documentation, and recovery of company property (access cards, locker keys, etc.)
•Conduct exit interviews, and prepare paperwork regarding full and final settlement and other benefits of departing employees.
HR Policies & Procedures:
•Administer HR policies/procedures to employees through appropriate communication channels and emails.
•Develop HR policies/procedures, and conduct briefing & education sessions with employees and people managers to ensure HR policies and processes are adhered to.
Employee Relations:
•Provide expertise in all HR functional areas, process employees’ queries/requests and resolve them within specified timelines, and provide options to escalate issues.
•Apprise employees of grievance redressal policy, information technology and payroll procedures through appropriate channels.
Payroll Management/Compensation & Benefits:
•Provide support to payroll team in processing payroll of employees on time.
•Maintain accurate records of compensation and benefits (pension, gratuity) of employees, and ensure employees’ record updation.
