• Provides high-level administrative support and assistance to the Managing Director and/or other assigned leadership staff.
• Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for senior staff.
• Arranges travel and accommodations for executives.
• Administrative
o Performs general office administrative and clerical duties, such as answering external phone calls and scheduling meetings between different teams and clients.
o Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping, database.
• Logistics
o Maintains a database of vehicle, machines and equipment for easy reference.
o Coordinates with Workshop Logistic Officer and Admins with updates of the status of vehicles, machines and equipment. This includes the vehicles and equipment under repair, standby and breakdown.
o Coordinates with Store-In-charge for any asset’s availability and allocation.
• Insurance
o Handles the company’s insurances such as Medical, Contractor’s All Risk, Property All Risk, Workmen Compensation, Plant and Machinery, etc. through brokers and/or direct insurance companies. Task includes the application of new insurances, renewals, extensions, cancellation and claims.
• Identify and assess customers’ needs to achieve satisfaction.
• Build sustainable relationships and trust with customer accounts through open and interactive communication.
• Keep records of customer interactions, process customer accounts and file documents.
HR/Admin
o Performs general office administrative and clerical duties, such as answering external phone calls, maintaining records, ordering supplies, and performing basic bookkeeping, database.
o Verifies the applicant’s employment and references.
o Prepare necessary documents, screen tests and interview questions for the organization
• Receptionist
o Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
o Answering screening and forwarding incoming phone calls
o Receiving and sorting daily mail
