▪ To coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.

▪ To review completeness of documentation, to prepare document transmittals & distribution matrixes .

▪ To input document data into the standard registers & control logs ensuring that the information is accurate and up to date.

▪ To generate the various document control reports as required.

▪ To make sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable

▪ To maintain updated records of all approved documents and drawings and their distribution clearly

▪ To handle and prepare all general correspondences including inter-office memos, official letters, administrative forms, minutes of meetings, different reports and e-mails according to company's quality management system.

▪ To create and maintain electronic databases in accordance with business needs.

▪ To use and fully handling a computerized system (GTP-JC) for controlling welding activities at project site including welders data, welding & joints information, Visual Inspection Reports, requests and reports for all types of required welding tests (Such as Radio-graphic Tests, Ferrite Tests, M/PT Tests ..Etc).

▪ To assist in the preparation and updating of new and existing procedures and flowcharts for the project.

• To arrange the preparation of agreements with different subcontractors and equipment suppliers, and to prepare documentation for their payments.

• To review the Maintenance Program for vehicles and equipment and review the history of maintenance and repair for each equipment and vehicle.

• To prepare and conduct orientations for other departments representatives or new employees whenever required.

• To coordinate the annual performance evaluation of department’s personnel, and reviewing all employees’ job descriptions against actual work being done.

• Participation in the interview panels designed for selecting and recruiting new employees, then coordinating with the Human Resources Department for recruitment processes and formalities.
