• Promoting a correct implementation of the SCI HR and admin policies and procedures and reinforce employee understanding of said policies.
• Help in maintaining a filing system through soft and hard copies.
• Carrying out the recruitment process of non-regular staf (including screening, shortlisting, booking interviews, interviewing, conducting reference checks, vetting, ofering…).
• Assisting in conducting interviews for teachers.
• Preparing contracts for new joiners (Regular & Non-regular staf), and assisting in renewal of fixed-term contracts when applicable.
• Preparing experience letters for non-regular staf.
• Handling the exit process for leavers.
• Handling all insurance claims and ensure all new joiners receive their insurance cards on time.
• Assisting in all HR monthly reconciliations (Annual Leaves and VMS).
• Following-up on staf leaves (annual, sick, special, bereavement, etc).
• Following up on the inductions of Child Safeguarding, Fraud, Harassment & Sexual Exploitation Policies to new employees and volunteers, in coordination with HR colleagues, line managers and other Focal Points and ensure all new staf have completed and signed all requested forms including the Child safeguarding policy and the code of conduct.
• Implementing a General Program Equipment (GPE) exercise in order to create an inventory from scratch for all SCI equipment in Zahle's ofice, warehouses and all educational centers (6+).
• Overseeing the maintenance of Zahle area ofice.
• Assisting in the preparation of lease agreements for all centers in Zahle.
• Ensuring that all assets and equipment in the ofice are in a good condition and follow-up on any maintenance needed or repairs.
• Facilitating reservation of accommodation for visitors and workshop participants.
• Requesting Save the Children IDs for all new joiners.
• Developing and maintaining a tracking system for all items received by staf (IDs, Keys, Vests, etc.);
• Processing invoice authorizations for monthly electricity bills, rent and other ofice related expenses.
• Handling the monthly postpaid lines reconciliation.
• Providing all staf with mobile recharge cards upon request, and submit monthly report to Finance based on budget allocations.
