Duties and Responsibilities:
Reports Directly to the Chairman of the Department including arranging task for the Medical Director.
Responsible of the Oncology/Hematology Team Section
Responsible in arranging all the appointments for the Medical Director and the Chairperson.
Responsible in preparation and coordinating all committee meetings.
Types memos, letters, reports, medical reports, and general correspondence.
Responsible in the monthly payroll/timesheet preparations.
Prepares minutes of the meeting.
Responsible in the purchase request of medical equipment's.
Compiles reports, annual budget requirements, purchase requests, etc.
Maintaining confidentiality of official matters and documents.
Responsible in coordinating with outside participants. (SCH, QF, SIDRA, QNRF, QSTP) and International affiliation.
Keeps accurate and detailed records of all departmental activities.
Prepares and maintains records of meeting proceedings.
Assigned to screen the applicants for administrative position.
Perform day to day administrative task such as maintaining information files and processing paper work.
Maintains statistical records, as necessary.
Responsible of the department equipment (IT’s, Furniture’s and Stationaries).
Orders routine supplies, receives and checks all incoming supplies, returning items, as indicated.
Maintains stockroom inventory and processes staff supply requests.
Facilitates verbal and written communication, both intra and inter departmental
Preparing and scheduling educational activities for the Physicians.
Facilitates CPD activities, CPD points and assisting physicians generating CPD certificates.
Encodes daily CPD attendance in the system.
Duties and Responsibilities:
Generate credentialing summary for each candidate and creates relevant file for each candidate.
Keeps daily update on candidate status report in Excel.
Monitors and updates any action taken or feedback on Oracle and Excel for purpose of providing accurate information on each candidate when queries arise.
Prepares contact sheet for candidate files to include: telephone numbers, e-mails, faxes, etc.
Prepares offer letter.
Generates monthly activity report.
Provides Bi-Monthly International Agent reports on Excel.
Monitor incoming communications.
Monitor and keeps daily update on cash flow.
In charge for depositing cash/checks in the bank.
Generates a monthly Income and Expense Statement.
Addressing requests, and demands of employers.
As directed by the Recruitment Manager, provides assistance with the recruitment processing, input and correspondence for all applications received.
Monitors the filing system, noting duplicate records, missing documentation and searching misplaced files.
Track file issued and issues copies of candidate data to employers or relevant offices.
Records candidates Personal Qualification Data to ensure required documents are present and in sequence and reports missing documents to the recruitment manager/coordinator.
Responds to walk in and telephone inquiries.
Prepares contract documentation of successful candidates. Prepares request and faxes or mails them as appropriate.
Files all incoming candidate correspondence and faxes. Copies and distributes such correspondence as appropriate.
Receives new hire contracts, checks and prepares checklist and provides complete files for employers. Arranges new hire to complete documentation.
General filing, faxing, photocopying and any other general duties as required.
Selecting/interviewing aspiring applicants from different countries.
Communicating with the foreign counter-parts
Processing the job orders in the embassy for the workers from different countries
Processing the documents for the visa application and contract of the workers
Perform other job related duties as assigned.
