Acting as Senior Administrator Conduct and organizing all administration & personnel activities within the project. Assists project administration in the application of relevant and current company procedures and instructions, and ensure they are complied with. Coordinate and follow up with Area Office/Head Office on transfers and recruitment to meet the proposed manning schedule.
Organizing the activities related to personnel administration of the project in the accordance to the company procedure and instruction, and to the local laws and regulations, these activities included local and external recruitment, inter-company transfer of employees, personnel records and documentation, visa and residence formalities, statistical reports and other related requirements. Directed and coordinated a variety of support administration services including personnel, camp administration, travel & leave process, insurance, public relations, office services, clearance, and medical services.
Prepared periodic reports on workforce for use by project management in planning and demobilization.
Ensured the provision and comprehensive service system covering all administrative activities, ensured the proper application of the relevant company procedures and instructions to fulfil the requirements of the project efficiently.
Recruitment: Conducting manpower planning & site requisition, job description, interviewing, Proceed with required formalities and follow up recruitment status after management selection.
Prepare and update Permits report (land lease agreement, environment permit, clinic / First Aid unit permit & license, Ambulance expiry, nurse license, Kahramaa.) and follow up with the PRO for the renewal formalities and ensure to renew on time.
Review policies and procedures and provide feedback if required as directed by the head office related to administration guidelines.
Preparation and follow up Sponsor letter (Visit & Family Visa) request, insurance, CIB, expense claim, medical claim forms & memos tel. allowances, gate passes, Account: salary deduction, payments
Medical screening, patient, hospital, health cards issuance / renewal
Induction check lists, GUDs Booklets, log sheets, development assessment, rotation
CCC Workshop, third party training & seminars (nomination, approval, arrangement)
Monitor and review all medical & insurance claim issues related to project (Property damages) and Follow up with Head Office for the reimbursement.
Workers Welfare facilities & social affairs, coordinate with General welfare officer & ensure that social, Physical, Psychological and emotional well-being of associates determined for all workers.
Leave preparation, leave request, section head/management approval, memos, Ticket arrangement, leave settlement, exit & passport), leave schedule, Business Trip
Follow up TOR, R/P renewal for employees and families, cancelation, exit permit arrangement
Prepare & follow up for employee Report to site memo, safety induction, Blood group medical arrangement, accommodation & transportation, Area Badge number
Coordinate with construction managers & section heads for Trade test, safety induction, allocation to site, release (MGT Approval), Inform suppliers companies.
Follow up with timekeeping Department time sheet, time card, and Attendance report, distribute project ID and punching card to site.
Mess hall Preparation and arrangement: responsible & follow up for site mess halls (CCC & Hired) preparation and installation for more than 2000 manpower on site
Mobilization stage: Responsible for offices mobilization follow up with mobilization team, furniture arrangement, offices kitchens & toilet material & equipment
Follow & Coordinate with PMV and related department for installation site water chiller/ station, Ice distribution on site, water & Ice sample test and ensue water are suitable for drink.
