Major Responsibilities:
Award Management and Compliance
* Submit high quality donor reports, narrative and financial, on a timely
basis according to IRC and donor regulations. Ensure all required
documents are included, complete, correct and approved by the
respective Program Coordinator/s and country management.
* Work closely with the Program and finance teams to develop
standard reporting templates and tools that will support improved
narrative, log frame and financial reporting.
* Maintain knowledge of grant agreement language and regulations,
serving as a knowledge resource on assigned donors and escalating
questions where needed.
* Raise compliance issues according to donor’s policies and
regulations.
* Lead grant opening meetings, monthly grant review meetings, and
grant close out meetings.
* Lead management meetings, including monthly review of Budget vs
Actual (BVA) reports to address and escalate any projected
underspend or over spend.
* Be able to proactively mitigate risks through proposing remedial
solutions in consensus with department heads
* Compile and respond to information requests from IRC’s regional,
and HQ offices.
Business Development
* Support the development of high quality proposals and budgets that
are relevant to IRC’s Strategic Action Plan and include input from key
stakeholders (finance, operations, programs, partners, etc.).
* Contribute to all aspects of the proposal development process -
including compilation/editing of the technical narrative, development
of budgets and budget narratives, drafting of required annexes, etc.
* Work closely with grant counterparts in NY, London, and Amman to
ensure coordination and adherence to proposal timelines and requirements.
• Experienced in managing different large-scale humanitarian projects, through partnerships with UN agencies and International organizations.
• Member of the committee of expanding SAMS’ projects in the Middle East and North Africa region.
• Having significant practical experience in designing, implementing and monitoring humanitarian programming.
• Budget management, staff management, donor relations and reporting.
• Planning, reviewing and revising all the cross-border project master work plans, Procurement plans, spending plans & recruitment plans.
• Leading the process of developing and implementing projects action plans and schedules focused on key outputs and outcomes.
• Developing and submitting the monthly reports and Ad-hoc reports to the donors as per the pre-identified deadlines and templates.
• Monitoring of the context updates and changes to identify new initiatives and projects opportunities.
• Meeting with stakeholders to make communication easy and transparent regarding project issues and decisions on services.
• Participating in developing high quality concept papers and proposals in collaboration with the other functional departments.
• Experienced in understanding of NGO compliance requirements and Donors regulations.
• Contributing in reviewing of the existing partnership agreements and propose appropriate adaptations that suit the programs’ needs.
• Supporting the development of training tools and materials.
• Providing oversight on projects, including adherence to financial, administrative and programmatic procedures and proper documentation.
• Working on the development of the capacity of the cross-border project team members and tracking their progress toward meeting objectives.
• Production planning, including the follow-up of raw materials consumption, motion and time study, production defects, waste management (Lean manufacturing).
• Responsible of the ERP system for the whole factory starting from raw materials management and ending by final products shipping process.
• Procurement of some raw materials and spare parts for the machines and following up the logistics issues of the procurement processes.
• Shared in putting procedures of work for some departments in the factory.
• Attended weekly and monthly meetings with top management.
• In collaboration with the mother company staff, I improved the Factory production system (ERP system).
• Responsible for the inventory counting of the whole factory, by using some tools and new techniques.
• Supervised Shipments planning in collaboration with all departments’ managers.
• Tracking the unit cost of production on monthly basis.
• Issued daily, weekly, monthly and yearly production and technical reports to the top management.
