To exercise general control over all activities in Stores Department.
To maintain proper records
To initiate purchase requisitions for the replacement of stock of all regular stores items whenever the stock level
of any item of store approaches the minimum limit fixed in respect thereof
To initiate action for stoppage of further purchasing when the stock level approaches the maximum limit.
To check and receive purchased materials forwarded by the receiving department and to arrange for the storage
in appropriate places
To reserve a particular material for a specific job when so required
To issue materials only in required quantities against authorized requisition notes/material lists.
To check the book balances with the actual physical stock at frequent intervals by way of internal control over
wrong issues, pilferage etc.
Responsible to record the invoice in the system after making sure the invoice contains the PO number
Send the invoice to the relevant department
Following up costs and billing work for customers
Generating from the system weekly report for outstanding invoices
Accounting work of the monthly and annual reports
Preparing the run for invoices ready for payment
Financial accounting which includes Accounts Payable, Accounts Receivable, and Banking accounting
Month end processing including interfacing from feeder systems e.g. payroll
Provide reporting - Tailored to meet uses/ management needs.
Responsible of monitoring daily cash operations done through the branch (receipts and disbursements)
Coordinating the work flow between the branch and the head office
Reviewing working hours and job reports before sending to head office.
