- Manage order processing and contribute to achieve monthly sales target
- Coordinate with the clients with regard to new launches, pricing, presentation etc.
- Forecast, order and maintain marketing tools to achieve growth sales (e.g. GWP, PWP and other marketing materials)
- Handles customer and vendor creation
- Manage yearly Cannes' meeting with clients
- Assisting the General Manager and staff with ongoing administrative duties such as scheduling appointments, correspondence, request, filing, meeting preparation, traveling etc.
- Read and analyze incoming correspondence including faxes and emails to determine their significance and plan their distribution.
- Coordination correspondence related to inquiry, request for quotation, orders, LPO, delivery, payment etc.
- Working with constituent/donor database to maintain constituent records, manage event registration and coordination and enter payment information
- Assisting with the invoicing, payment processing, and receipting activities surrounding outstanding payments and new pledges
- Managing relationships with office vendors (office supplier, copier & spare parts, facilities
maintenance, etc.)
- Administering the organization’s public email account, receiving and sorting postal mail and
routing general phone inquiries
- Maintaining the organization of the office supply room, kitchen and meeting rooms
- Preparing and posting job advertisements, screening applicants and arranging interviews.
- Handling logistic matters for import and export shipments of raw materials, machineries and finished goods; including preparation of documents for custom clearance, close coordination with clearing agent and supplier for import shipments
- Handle online customs processing / clearance via Dubai Trade Portal for incoming shipments
- Processing addition/deletion of staffs' medical insurance and application of medical reimbursement
- Coordinate with contractors and prepare all pre-qualification documents required for the projects
- Assist Estimation Dept. with quotations and call/email suppliers for pricing request
- Assist Site Engineers for material submittals, O&M and other request from contractors
- Prepare warranty certificate
- Coordinate with the engineers for proper and relevant information
- Using a variety of software packages such as Microsoft Word, Outlook, Power Point, Excel, etc. to produce correspondence and documents and maintain presentations, records, spreadsheets and database
- Typing all required correspondence and ensure delivery of documents to the concerned
department/personnel
- Prepare all submittals required for the whole project such as Material Submittal, Method
Statement, Inspection Request, Warranty Certificate etc.-
