Save the Children
Save the Children is the largest International NGO working for the rights and welfare of children in over 90 countries since 1919.

The position is responsible of overall management of administration department including staff travel, lodging, procurement/purchases, vendor management, staff house management, contracts management, building administration staff capacity, management and organization of meetings events and workshops, petty cash management.

Key Responsibilities includes: • Manage administrative function and establish internal administrative systems and controls.
• Contribute fully to implementation and oversight of administrative support to Save the Children Staff, including National and Expats.
• Assess and provide / manage high quality capacity building inputs to Administrative Staff, office helpers, gardener, cook, kitchen staff and outsourced janitorial staff.
• Negotiate prices, leases, and contracts on behalf of Save the Children.
• Perform purchases function and manage Save the children vendors.
• Supervise in carrying out market surveys for identification of potential vendors for procurement.
• Liaise with logistics department to advertise tenders in newspapers.
• Support logistics department in pre-qualification of vendors/suppliers.
• Establish and maintain good relationships with vendors and ensure cost effective highest standards are maintained.
• Ensure highest standards are maintained in direct day to day purchases.
• Manage petty cash for day to day administrative expenses.
• Establish systems to facilitate efficient administrative procedures.
• Supervise and manage all domestic/international staff travels (by Air and Road)
• Act as a focal person for administrative support to field offices.
• Supervise and manage staff lodging in different guest houses.
• Managing and supervising staff houses to be running in full operational condition.
• Manage and organize events, conferences, workshops and meetings.
• Manage proper administration fillings and records.
• Supervise maintenance assistant, and ensure the proper maintenance of electrical equipment and fittings in office and staff houses.
• Supervise the admin assistants and ensure that office billing is done properly in time including Sui gas, electricity, water, Nayatel and Phoenix etc.
• Supervise Admin Assistants in managing the EVO/Edge sticks, maintain records and pay bills including that of Mobilink and Telenor bills.
