Budgeting, proposal development and Contracting

o Preparation of financial proposals
o Ensure full cost recovery Thematic/Non Thematic cost in each proposal.
o Match budget figures with narrative proposals and respective log frame.
o Roll out strategy to mitigate grant related risk.
o Posting of all proposals, grant agreements, budgets and amendments on the Portal
o Circulation of approved grant agreements to appropriate staff, field offices
o Review of grant agreements to ensure that the terms and conditions are acceptable and practical
o Prepare and analyze BVAs, of monthly grant Issue Report, Salary Coverage, Award information sheet for budget holders, key management personnel’s and concerned stakeholders

Preparation of donor financial report
o Ensure completeness of expenses from financial system for donor reporting
o Ensure donor agreement compliance for reports
o Submission of report to management for review
o Liaising with Member regarding any change or in report and finalization before submission to Donor

QC Gate Portal System
o Uploaded of assign financial documents on QC Gate and responding to HQ comments of uploaded documents
o Liaising with member for any updates and queries on uploaded documents raised by HQ and get approvals
o Coordinate with External and internal auditors for all related matters of award and responding the Management letter

Bank Account Management
o Liaising with banks and ensuring a regular monitoring of the movement in the bank accounts vis-à-vis ensuring sufficient liquidity in the bank accounts.
o Rigorously keeping track of the variation in the exchange rates and prudently recommending conversions of foreign currencies in to local currencies
o Preparing monthly bank reconciliations statements of all bank accounts.

Administrative Support.
o Providing assistance to the program staff in all financial related matters
o Provide assistance in HR, Logistics and Admin departments
o Providing support to the administration for the office procurement.
o As a Member of procurement committee processed all the purchases
o Vehicles management and coordination with suppliers and contractors.

Key Responsibilities:

o Undertaking the field monitoring visits to verify the financial records of the field offices ensuring compliance with the sub grant agreements, & proposed budgets.
o Following up and ensuring timely submission of the periodic financial reports by the Field offices
o Preparing and posting all kind of vouchers in Quick Books accounting software
o Maintain the books of accounts in coordination with line manager
o Ensuring the management of the data file and the appropriate filing of the electronic and hard copies of the financial documents and reports.
o Under the guidance of the line manager preparing the periodic financial reports as per Donner requirements ensuring that the budgets overruns do not occur
o Efficiently and properly, administer all staff related benefits including salaries, allowances, medical insurance, provident funds, EOBI etc. to ensure quality of treatment to the staff. Manage national staff welfare policies including health insurance, personal and accident cover.
o Review of financial transactions of funds received and spent within the financial policies of Qatar Charity and Donor Organization

o As a member of procurement committee and involve in all procurement process i.e. purchase requisition, invitation of bids, bids opening, comparative statement, purchase order, receiving & inspection report.
o Recovery of Expenses/costs from donor agencies, including the use of vehicles, project installation charges, drivers’ overtime, freight charges, utility and telecommunication charges etc.
o Assist in preparation of periodic budget submission and revisions including estimating the cost of staff as well as rental and utilities, office equipment and supplies, printing, and other contracts, services or running expenses, to include in the budget.

Audit & Tax Associate at Shahzad Adil & Co (Chartered Accountants)
