• Monitoring Pre-Campaign Activities (Re-Validation of Micro-plans of each UC in the field, Attending UPEC/TPEC/DPEC level meetings, Monitoring Area Incharge/Polio Vaccination Teams Trainings) and reporting online to high authority on daily basis.
• Monitoring Intra Campaign Activities (Monitoring polio vaccine, Monitoring at least three teams activities (IPC) and taking three clusters in the field daily in a UC, attending UC level meeting, attending meeting with Agency Surgeon and attending District level evening meeting with PA Mohmand and all line departments about field vaccination (Progress) of the day) and reporting online to high authority on daily basis.
• Monitoring Post Campaign Activities (Monitoring Social Mobilizers, SM Log Books, and verifying covered children in the field) and reporting online to high authority on daily basis.
Specific Duties and Responsibilities:
• Responsible for financial record keeping and administration - Ensure that all finances are properly administered and monitored in accordance with financial regulations and controls.
• Prepare monthly financial reports for the CEO, Trustees and funders on income, expenditure, and any variations from budgets. Be prepared to provide this information as and when is needed.
• Be responsible for tracking petty cash, keeping appropriate records, and maintaining reconciliations.
• Maintain bank records, perform bank reconciliations, and deal with the bank on all financial matters (e.g. changing salaries, changing authorization codes, changing names on signatures etc.)
• Be responsible for maintaining, and developing where necessary, the administration of office systems - paper and electronic (e.g. online file sharing systems such as Drop box).
• Be responsible for carrying out, and helping develop where necessary, administrative systems such as records management.
• Responsible for incoming and outgoing mailing and correspondence with other stakeholders/ Line departments.
• Training, workshops and meeting arrangement.
• Maintaining staff HR related matters and keeping a proper record.
• Maintaining and keeping record of all inventories (IT, Equipment, Furniture) in the office.
• Organize team meetings, circulate agendas and take and circulate minutes.
• Perform other task assign by the supervisor.
• Interview Electricity Consumers, Acquire Information and fill prescribed Census Forms
• Collecting data from contractor, validating the data and forwarding to MIS
• Coordinate field work among Census Manager, Coordinator, Field Supervisor and Contractors
• Resolved field issues and guide consumer regarding any queries
• Establish time frame for field work
• Processing data entry on daily basis
• Prepare work plan weekly/ Monthly and Quarterly
• Perform any other task assigned by the Supervisor/Manager
• Ensure the cleanliness and maintenance of housing facilities and their lawns
• Supervise support staff including cook, gardener, maintenance staff, and contracted labor;
• Ensure that equipment, air conditioners, and generators in office and residences are kept in optimum working order, through correct usage and periodic maintenance;
• Develop Purchase request for goods and services as needed.
• Prepare staff Time Sheets, Per Diem and keeping their leave records
• Prepare monthly Log Book for the official vehicles and generators
• Coordination with Head Office for any financial and HR related issues
• Help to insure that photocopy machine is maintained and used properly
• Run errands and purchase items as directed;
• Participate in professional training and development activities, as needed or requested;
• Perform other relevant duties and tasks assigned by supervisor.
