The primary role of this position is to provide office services by implementing
administrative systems, procedures, policies, monitoring administrative projects and
maintaining suggestion program.
• To provide administrative support to the company.
• Maintains administrative workflow of the division/department.
• Maintains report with customers, managers, and employees by arranging continuing
contacts, settings priorities and resolving problem situations.
• Maintains continuity of work operations by documenting and communicating
needed actions to the Management, discovering irregularities.
• Accomplishes division/department mission by completing related results as needed.
• Completes operational requirements by scheduling and assigning administrative
projects and expediting work results.
• Ensures operation of equipment by completing preventive maintenance
requirements, calling for repairs, maintaining equipment inventories and evaluating
new equipment and techniques.
• Provides information by answering questions and requests.
• Resolves administrative problems by coordinating preparation of reports, analyzing
data, and identifying solutions.
• Maintaining professional and friendly communications as the first point of call for
general external enquiries and correspondence.
• Coordinating all operating systems including ensuring that telephones, computers,
printers, photocopiers and other machines are kept in good working order, including
maintaining supplies for operating systems and arranging technical support when
required.
• Coordinating office supplies including making orders and maintaining stationery and
mail supplies levels.
Coordinating the filing of hard copy records including maintaining accurate records
of the archiving and filing systems.
• Liaison with Support functions (Administration, HR, Finance, Security etc)
• Coordinates all the day to day administrative works within Administration and HR
Department.
• Performs any other task as assigned by the Administration and HR Managers.

Develop and maintain a detailed project schedule and execute entire administrative tasks involved in a project.
• Maintains Project Managers’ calendar.
• Ensure project members' adherence to deadlines.
• Maintains accurate and timely filing and document control.
• Prepare interim / status reports (weekly/fortnightly/monthly) of the projects and deliver to client.
• Responsible to collect data from the business analysts & project engineers to develop & maintain the final schedule.
