• Responsible for developing, Implementing and monitoring efficient office activities in addition to managing all correspondence.
• Undertaking diary management and making travel arrangement and hotel bookings for managerial and staffs.
• Responsible for all hired direct and indirect employees mobilization and time sheet updating on HRMIS.
• Responsible for all of our employees and equipment’s are covered valid SHAYBAH Military gate pass / Aramco ID’s.
• Mobilization of equipment’s, vehicles as per the project requirement and coordination of drivers and operators.
• Arranging the office setups and furniture’s, desktops for the new mobilized employees.
• Handling petty cash, Iqamas and passports.
• Providing excellent customer care, dealing with enquiries both over the phone and face to face with our staffs and labors regarding Leave schedules, Iqama and Passport renewals, Hotel bookings and International and local departure and arrivals etc.
• Preparation of departmental and Project organization charts and types of reports as per Management requirement.
• Preparation of various types of reports, like project employee’s master summaries and daily workforce reports, Allocation sheets and weekly and monthly manpower / vehicles, equipment’s reports, Daily absenteeism report as well project required reports.
• Preparation of monthly & yearly training status that reflecting each employee’s training overview consisting - done, due & overdue.
• Handled routine correspondence, petty cash expenses, issuing invoices, keeping collection ledgers, processing ID cards, preparing stock statements as well as entire business reports for and take care of all other miscellaneous office duties.
• Planning of Manpower mobilization and Demobilization plan as per Site Manager/CM requirement.
• Monthly Saudization report, Weekly manpower variation reports, Daily Workforce report preparation and submission to Aramco.
• Organize and maintain personnel records
• Update internal databases (e.g. record sick or maternity leave)
• Prepare HR documents, like employment contracts and new hire guides
• Revise company policies
• Liaise with external partners, like insurance vendors, and ensure legal compliance
• Create regular reports and presentations on HR metrics (e.g. turnover rates)
• Answer employees query about HR-related issues
• Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days)
• Arrange travel accommodations and process expense forms
• Participate in HR projects (e.g. help organize a job fair event)
• Maintain employee records (soft and hard copies)
• Update HR databases (e.g. new hires, separations, vacation and sick leaves)
• Assist in payroll preparation by providing relevant data, like absences, bonus and leaves
• Prepare paperwork for HR policies and procedures
• Process employees’ requests and provide relevant information
• Coordinate HR projects, meetings and training seminars
• Collaborate with the Recruiter to post job ads on careers pages and process incoming resumes
• Manage the department’s telephone center and address queries accordingly
