Duties & Responsibilities:
*Reading, Monitoring and responding to emails.
*Handling inquiries through email or phone.
*Arranging travel itinerary (Plane Ticket, Hotel, and etc.).
*Arranging Visa (Saudi Arabia, Canada, USA and other countries).
*Make sure the office is properly maintained.
*Make sure all computers, printer, photocopier and fax are working properly.
*Check stationery to make sure the office have enough supplies.
*Coordinating with Logistics Company for the Shipment.
*Answering phone calls, getting the message or transferring to the right person.
*Filing and maintaining office records.
*Receiving and distributing mails from the PO Box.
*Welcoming the guests and make sure they have the refreshments.
*Receiving all courier and deliveries for companies and other employees.
*Occasional delivery / collection of cheques / other items.
*Assist with the networks and security management
*Screening all call before forwarding to the designated persons.
*Organize meetings, arrange travel, manage records and monitor expenses.
*Provide technical support for end users, computers, printers, and etc.
*Prepare reports and process expense and invoice.
*Traditional office duties, such as filing, copying, scanning, ordering supplies and overseeing supply reordering.
*Provide user level training on daily applications used, including but not limited to:
MS Word, MS Excel, Photoshop, Adobe Acrobat, and other basic computer related skills.
*Assist with the end user system updates and monitor including: Spyware removal and testing, virus checking, ensuring backup of date files, and etc.
*Monitor printers, copier and fax machines to make sure they are working properly and getting regular maintenance.
*Assist the end user maintain the documents properly.
