CEO Personal / Executive Assistant
Provides secretarial and administrative support, including typing, correspondence, minute taking, filing, data input, maintenance and management of information held by the company .Responsible of Training new Secretaries - Department of Administration. Part of HR responsibilities - Assistance. Types up handwritten, verbally and digitally dictated material into correspondence and documents,
Emails, faxes, shipments. Opens, receives, and puts away all deliveries to the office. Collects and distributes internal and external mail, to include preparing outgoing post for employees. Handles incoming/outgoing calls with high communication skills, while transferring them to their corresponding destinations.
Handles and maintains all orders related to office stationery, supplies and office appliances.
Monitors stock, purchases stock and updates stock supplies throughout the office as required.
Handles all arrangements for visitors, clients or partners visiting the company premises transportation, conference _ meetings preparations
Maintains day to day coordination of other support staff that includes drivers and office assistants/housekeepers
Handles the day to day premises check (facilities and maintenance)
Handles and follows up on all the facility’s maintenance needs.
Ensure health & safety compliance along with recycling protocols.
Handles and follows up on all tasks related to office works, high skill in redecoration, renovation and relocations (on site supervisor / A to Z)
Handles contracts and relationships with suppliers and maintains all related needs.
Liaise with other members of staff, clients, suppliers and other external contacts as necessary.
Handles the parking facility space allocation, reservation and coordinates with 2nd & 3rd parties to arrange all logistical needs.
Handles V.O recording tasks as may be required
Handles all employee travel arrangements including visas, airplane tickets, accommodation etc. as may be required.
Assists in the implementation of office standards, policies, all other procedures and Codes of Conduct.
Day to day problems solving
Carry out any other and miscellaneous duties within the scope, spirit and purpose of the job
