Provide Administrative and Logistics support to all projects of Rural Support Programmes Network (RSPN) running in Sindh and Balochistan Provinces
Work as Admin/Finance Consultant for the Maternal and Child Health Project at District Larkana, Sindh Pakistan.
Procurement / arrangements for Establishing of new District Program Management Office at Sukkur.
Ensure provision of utility services in office like Electricity, Gas, Water, Telephone, Fax, External Telephone and Inter Telephone Exchange etc and ensure their continued supply without interruption.
Fleet management / logistics support to program activities.
To undertake a range of administrative duties covering accommodation, maintaining Project’s filing system, dispatching documents, managing room bookings and preparing rooms for meetings.
Check security arrangements of office premises and ensure safety of office and staff.
Undertake all the work related to purchase of furniture, fixture, office equipment, computers, air conditioners etc in close coordination with logistics department.
Maintain the high standard of janitorial services in office.
Assign and monitor clerical, administrative and secretarial responsibilities and tasks among office staff.
Check misuse of office facilities by staff and report to supervisor.
Negotiate service agreements with vendors.
Assist supervisor in serving governance particularly organizing meeting.
Handle travel arrangements including lodging and boarding of staff, booking of room(s) in the hotel, railway / air tickets, transportation arrangements etc at national level.
Liaise closely with other Departments and emphasize on excellent inter-departmental relations considering other departmental procedures and policies.
To maintain all admin records and forms as prescribed by established policies and procedures.
HR
Work as representative / Focal person of HR.
Maintain / Update Personal Files of Staff.
Maintain / update the leave record and Process of Leave Application.
Obtain / share daily attendance sheet to Head Office / Regional Office.
Initiate / process hiring of new staff.
Member of Interview Panel for new hiring.
Process of salary and other claims through Regional Office.
Ensure proper repair and maintenance of SRSO Core Vehicles.
Act as Logistics Officer in assistance of manager Administration.
Ensure fueling of all vehicles.
On request, get repair / maintenance of District Offices vehicles through selected vendors.
Ensure proper issuance of bills of repair / maintenance from vendors, their scrutiny and process.
Timely process of repair / maintenance bills of vehicles for payment to vendors.
Maintain / update the vehicle repair / maintenance books of all Head Office Vehicles.
Coordination with vendors for speedy / timely repair of vehicles in emergency.
In close coordination with procurement section, process the selection of reputable and qualified mechanics for vehicle repair and maintenance.
Keep record of vehicle service and oil changes on due date / mileage, and process its payments.
In case of any accident of vehicle, process its repair / maintenance through insurance company in consultation with SRSO insurance sector.
Handle the conflict created in case of accident of vehicle and resolve the issues on priority.
Handle petty cash for the purpose of low cost repairs of vehicles.
Update the management through weekly/monthly/yearly expenses report of vehicles.
Any other task assigned by the management.
