DESIGNATION: RECEPTIONIST CUM ADMIN ASSISTANT
Duties and Responsibilities:
1. Provide office support services in order to ensure efficiency and effectiveness within the Office.
• Receive, direct and relay telephone and fax messages.
• Direct the guests to the appropriate staff member.
• Check the monthly telephone bills, receiving postal mails, segregation and distribution.
• Maintain the general filing system and file all correspondence.
• Assist in the planning and preparation of meetings and conferences.
• Maintain an adequate inventory of office, warehouse, store and pharmacy supplies.
• Respond to public inquiries.
• Provide word-processing and secretarial support.
• Receive courier shipments and preparing payment charges.
• Send fax messages / Memos to all branch pharmacies.
2. Perform clerical duties in order to maintain Hamlet administration.
• Develop and maintain a current and accurate filling system.
• Monitor the use of supplies.
• Encode the DAILY SALES REPORT FOR ALL IMC PHARMACIES.
• Encode the WEEKLY AND MONTHLY INDIVIDUAL SALES REPORT.
• Encode the Daily Reports of MEDICAL/SALES REPRESENTATIVE, MERCHANDISER AND PROMOLADIES.
• Prepare Suppliers MONTHLY STOCK AND SALES REPORT.
3. Performs receptionist functions.
• Answer all incoming calls and handling caller's inquiries whenever possible.
• Re-direct calls as appropriate and take adequate messages when required.
• Greet, assist and or direct visitors and the general public.
• Encode the daily OUTGOING MOBILE CALLS.
4. Support the General Manager and other staff.
5. Perform other related duties as required.
