Works on the KHDA teachers’ approval, communicating with the teachers, uploading required documents to the
KHDA portal, making sure all qualifications are met as per the KHDA standards, following through any necessary
actions to be taken with the pending requests as per the KHDA representative’s comments.
• Handles residence visa/labour card/work permit processing and renewals; screening staff information, entering
data, printing and tracking; coordinating with the school PRO in arranging appointment schedules for medical,
visa issuance & distribution, biometrics scanning and releasing of Emirates ID and labour contract signing.
Sending reminders to staff regarding their visa status.
• Acts as a liaison between the HR team and handles over 800 employees, ensuring smooth communication and
prompt resolution of requests, queries and concerns.
• Manages SIMS staff profile - creates SIMS account log in for new hires, updates information and coordinates
with the IT department for computer log ins and school ID cards.
• Manages the MenaMe HR Software System - managing, editing, and keeping personal information and records
of staff and giving them access to their user profiles. Handling and engaging with the HR software system as per
the HR masterlists and files.
• Assists in the day-to-day operations and functionalities of the HR team such as scanning, photocopying, printing
and filing.
• Collects, checks, scans and photocopies documents and files; making sure that organizational documentation is
stored and kept properly and securely.
• Ensures that all new joiners have completed their onboarding procedure and checklist
• Ensures that all leavers have completed their offboarding procedure and checklist; deleting and deactivating all
school log in profiles
• Communicates with a third-party service provider regarding staff’s flight booking information
• Corresponds with new hires to obtain proper documentation during the hiring process
• Assists in the issuance of all HR letters
• Coordinates with the HR Manager and supports human resource processes by scheduling appointments and maintaining HR related records and information
• Provides payroll information by collecting time and attendance for salary and final settlement
• Creates new joiners file and documents such as passport, visa, EID, insurance card, etc., and maintains employee information by entering and updating database
• Provides new employees their respective employee number and registers their biometrics
• Keeps track and monitors absenteeism, approved sick leave, personal leave and annual leave
• Prepares LPOs and arranges flights for staff, workers and managers
• Checks staff and workers’ daily attendance, generates all manpower report using VLOOKUP & Pivot Table and sends report to the HR manager
• Prepares and assists in issuance of HR related letters to employees including Warning Letters, Termination of Employment, etc., and submits necessary employee data reports by assembling, preparing, and analyzing data
• Maintains employee confidence and protecting operations by keeping human resource information confidential
• Assists staff, Project Managers, Engineers and the Managing Director in providing administrative and clerical support such as mailing, scanning, copying and filing
• Transcribes dictations, drafts letters and handles correspondences
• Schedules coordination meetings and appointments; arranges and sets up conference room with necessary stationery and equipment
• Organizes courier deliveries and managing office supplies; prepares requisition forms
• Acts as a liaison between all external and internal data sources in the company
• Attends to visitors and deals with inquiries on the phone or face to face; provides necessary information to the clients and customers regarding the organization
