Executive Assistant to Sales and Marketing Director/ Director- Finance/ Cum Sales Coordinator
Organizes and maintaining diaries, set and confirm appointments as directed, received and schedule visitors.
Prepare reports, presentations and correspondences, facilitates distribution and does the necessary follow-ups. Organizes and maintain files of records and correspondences, including special projects.
Screen calls and relays messages, responds to telephone enquiries whenever possible, forwards calls to appropriate party. Handle all inquiries within my capacity.
Coordinates with different offices regarding Director’s (& associates) travel schedules & hotel accommodations. Responsible for the preparation/arrangement of visas, hotel accommodations & renewal of passports.
Perform general clerical duties to include: photocopying, filing, and faxing, preparing outgoing mail, acquaint of reception and other administrative staff, etc.
Process replies on own initiative or from Directors dictation or notes.
Coordinate both internal and external meetings and conferences.
Fix commitments to maximize Directors time efficiency as well as arrange "callbacks" to protect Directors time.
Assists in handling routine and advanced correspondence that include confidential and time-sensitive letters, memoranda and transcribes dictation type documents.
Accounts Responsible- Utilities (DU, Etisalat, DEWA)
Handling and coordinating company and personal properties of the management.
Sales Coordinator Responsibilities
Attending sales enquiries
Follow-up on status of sales orders
Handle correspondence relating to customers
Attend and solve problems arising from sales orders
General administrative work relating to sales agreement, correspondence, etc - quotation, purchase order, delivery order
Process / Co-ordinate sales order with operations department to meet delivery schedules of customer
