• Maintaining relations with preferred vendors
to ensure a high quality merchandise
procurement, expedient delivery, and
dependable service at optimum price.
• Purchase re-approved items.
• Submit enquiries to suppliers, review prices
and product specifications. Negotiate Purchase
Orders with vendors.
• Help in processing purchase orders including
sorting and researching. Track status of orders,
deliveries.
• Determining and recommending products to be
stocked in quantity as necessary.
• Develops bids for assigned goods.
• Evaluate bids to ensure compliance with
specification.
• Ensure compliance of purchasing activities
with organization regulations.
• Prepare Material Submittals for every item that
we need to submit and present to Clients.
• Handling most of urgent requests that need to
be purchased either online or from local vendor,
and taking the quick action to procure this item.
• Analyzing markets to determine vendor's
sources and product availability.
• Receive requests; obtains estimates; updates
records, initiates paperwork and follows up on
request for approval.
• Prepare comparison statement for received
quotations.
• Encode Local Purchase Orders to
SAGE/Peachtree Accounting Software.
• Organize documents; generate incoming and
outgoing letters from/to clients, contractors, etc.
• Performing administrative and office support
activities for multiple supervisors.
• Performing a variety of Internet research
functions and uses word processing,
spreadsheet and presentation software.
• Process, control and administer incoming and
outgoing documents (correspondences,
submittals, fielding telephone calls, receiving
and directing visitors, word processing, creating
spreadsheets and presentations, and filing
transmittals, specifications, drawings, etc.).
• Fielding telephone calls, filing and data entry.
• Ensure all documentation is controlled in
accordance with the company's procedures for
document control.
• Assisting in overflow work from administrative
and executive assistants and fill in for the office
receptionist as needed.
• Performs clerical tasks, such as arranging
letters, memoranda, invoices and other indexed
documents according to an established system.
• Involved in bench projection and hiring
analysis.
• Forecasting and analyzing demand and supply.
• Report generations using MS Office especially
MS Excel sheets with vlookup functions, pivot
tables, etc.
• Organizes meetings and room reservations for
managers.
• Organizes teambuilding events for the team
and the whole project.
