Location: Makkah, Kingdom of Saudi Arabia - June 2023 - July 2025
Key Responsibilities:
1 . End-to-End Document Lifecycle: Manage the complete lifecycle—creation, receipt, review,
distribution, filing, tracking, and archiving—of all project documentation, including drawings,
RFIs, submittals, contracts, and correspondence.
2. EDMS Administration: Administer and maintain Electronic Document Management Systems
(EDMS) such as Aconex, Unifier, or SharePoint. Oversee user access, permissions, and the
creation of targeted distribution groups to ensure secure and effective information flow.
3. Quality Assurance & Compliance: Enforce strict adherence to approved document control
procedures, naming conventions, metadata accuracy, and organizational quality standards.
Maintain rigorous revision and version control to guarantee stakeholders access only the latest
information.
4. Workflow & Cycle Management: Monitor submission timelines, review cycles, and approval
workflows in alignment with PMO governance. Proactively track overdue documents,
coordinate follow-ups, and escalate bottlenecks to ensure timely turnarounds.
5. Stakeholder Interface: Act as the primary document control liaison between internal project
teams, clients, PMO, PMCMs, consultants, and external contractors, facilitating seamless
communication and alignment across technical, commercial, and planning disciplines.
6. Reporting & Analytics: Generate, compile, and distribute comprehensive project progress reports (daily, weekly, monthly), document status logs, compliance metrics, and system-based analytics to support leadership decision-making.
7. Training & Onboarding: Oversee the system onboarding process for staff and external parties. Provide ongoing training, procedural briefings, and technical support regarding document management workflows and EDMS utilization.
8. Security & Information Safeguarding: Maintain the strict confidentiality and security of sensitive project documentation by implementing appropriate access controls and safeguarding key operational processes.
9. Auditing & Continuous Improvement: Conduct periodic audits and system quality checks of all incoming documents and established processes to ensure audit-readiness, identify areas for improvement, and drive operational efficiency.
10. Project Phase Support: Assist in early construction planning activities, including site condition assessments, early mobilization, and the coordination of temporary site infrastructure and essential services.
11. Technical & Commercial Administration: Support the Senior Resident Engineer and project teams by reviewing contractor submissions (such as progress reports and payment valuations), attending technical meetings, and maintaining accurate records of project decisions and correspondence.
12. Project Close-Out & Handover: Manage archiving procedures, prepare final handover reports, and compile comprehensive project close-out documentation in strict accordance with contractual requirements.
