Responsible for providing a broad spectrum of executive administrative and coordinator support. Primary responsibilities include developing and supporting standardized processes that will be used across Finance activities (e.g., onboarding, recognition, meeting routines), collaboration with Executive Assistants, HR and Facilities Management to accomplish goals; as well as perform daily Executive Assistant duties (e.g., calendar and travel management, internal/external meeting planning and execution, department budgeting/forecasting, assistance in preparing Board level materials (e.g., PowerPoint), etc.).
Executive Support - manage all aspects of inbound calls, Outlook calendar, travel arrangements, expense reports, meeting agendas and related deliverables.
Organize external and team meetings, including scheduling/logistics, communicating to meeting participants, coordinating with applicable resource and meeting room set up, food/meal arrangements, etc. Assist in identifying creative team building ideas and related planning/execution. Also requires interaction with hotels for meetings held outside of office (requesting quotes, managing contract, sleeping rooms, etc.)
Assist with management of the department budgets and forecasts, including review of direct report expense reports, travel expense management, intercompany charges, processing of 3rd party billings,
