Coordinate between Sales department of all regions and other departments such as HR, Finance & Procurement.
- Preparing daily sales reports via SAP.
- Attendance, Overtime & Incentive reports.
- Vacation and Exit-reentry visa requests.
- Business trip plans.
- Event preparation and organise meetings.
- Creating PO via SAP for Sales department needs such as Office supplies.
- Controlling and managing leased cars for the sales team.
Provide general office support and technical assistance to the department and aid the Director as well as other members.
- Organize professor’s research events, workshops and conferences: Hall booking, catering, prepare agendas, send official invitations, prepare needed IT equipment and printed materials.
- Book scheduled meeting rooms for professor’s and their team.
- Arranging business trips for the department’s professors and their team including: flight, hotel booking & car rental.
- Assist in the logistics of business visitors: Airport pick-up, hotel booking, security pass, meet & greet.
- Create POs of office supplies, Lab materials, tools and equipment for Professors, Researches and their team of PhD students.
- Prepare and submit business trip expense report for Professors, Researchers & Students.
- Coordinate with Government Affairs department to support the team with their E-Reentry visa, Visa applications, Iqama & Passports issues.
- On-board for new joiners including Housing, Assigning office, IT assists & office supplies.
- Arrange orientation tours for the new joiners.
- Send important internal announcements to the team.
- Create and control generic e-mails for the department and the team.
- Share and update the team of the new policies and procedures.
- Prepare domestic and international shipments.
-Taking care of the Director's business visitors.
- Preparing meetings and business visits agendas.
- Taking minutes.
- Preparing financial reports.
- Taking care of the Director's business travel plans.
- Time management reports.
- Recruiting new members.
Take full responsibility and care with customer complaints, queries and requests. Provide help, information and guide customers with company services.
Inbound and Outbound calls with customers. Describe the product benefits and any special offers. Give advice about how these may benefit customers personally. Persuade customers to accept a visit from a sales representative. Gather and document information about the customer. Enter notes into a computer, including dates for follow up calls. Take orders and arrange for delivery and bills to be sent.
