- Draft and edit correspondences to the Client, Contractors and Suppliers.
- Draft and edit presentations, Memos and correspondence
- Provide administrative and clerical support to departments or individuals.
- Arrange meetings conference rooms.
- Operate office equipment, such as photocopy machine and scanner.
- Receive telephone calls and messages.
- Upload all incoming and outgoing documents on PCM software
- Checking and reviewing the quality of the documents, e.g. date and document number before receiving the document or handing it over to others
- Distribution of documents from the beginning to reach the stage of archiving (for example - receipt - scanning - registration - archiving - action required to take).
- Follow-up of the archiving system (archives) soft or hardcopy.
- Coordination with the work team of the contractor, consultant and client, if any.
- Ensure that the documents are in their correct and organized places according to the subject or type whether specifications - letters - plans - or invoices.
- Review the documents whether certain approvals will be taken.
- Handling phone calls.
- Typing excel sheets and word documents.
- Prepare statistical reports.
- Manage spreadsheets.
- Greet and receive visitor.
- Open incoming mail and route mail to appropriate individuals.
- Answer routine correspondence.
- Maintain hard copy and electronic filing system.
