Logistics:
• Oversee warehousing, develop and implement an inventory management system, ensure adequate documentation and reporting on flow of goods. Produce accurate, regular and timely analytical reports on procurement and logistics
• Keeping stock control systems up to date and ensuring inventory accuracy.
• Supervision the planning, coordinating and monitoring the receipt, order assembly and dispatch of goods.
• Ensure management of vehicle fleets is in line with save the children Sweden standards; ensure appropriate allocation and safe use of vehicles throughout the country office and program and ensure servicing and maintenance schedules are adhered to.
• Ensure the transportation of freight by land, and air is in line with program budgets and needs; ensuring the most cost effective and reliable means of transport is used for the timely delivery of supplies to projects.
• Ensure the custom clearance works and follow with different external like ministry of finance, HAC and custom head office the custom clearance process.
• Ensure and make sure that the assets inventory register is maintained; ensuring that all program assets are logged, issued with unique agency asset numbers and tagging are tracked throughout the country office.
• Ensure and make sure that the procurement process and system properly organize and tracked.
• Ensure that Save the Children minimum standards of operations procedures and country policies are communicated and adhered to throughout the CO.
• Develop the logistics strategies to support save the children Sweden programs and provide strategic leadership to the Officers and Staff of the Logistics, and transport, warehouse and asset.
• Provides advice and guidance to staff procurement on procurement different matters.
• Monitors and reviews progress of contractual agreements, reviews and approves invoices for payment, resolves any problems that arise, performs post contract evaluations, creates and maintains procurement records, including electronic records in the system and record in file and ensuring accuracy and integrity of data.
• Provides required written authorizations, and prepares/issues instructions and importation documentation to suppliers, to ensure timely and safe arrival of goods, and compliance with domestic and international regulations, government and customs regulations etc., and takes necessary action to resolve problems/disputes.
• representing Save the children in inter-agency coordination meetings with UN different government and HAC etc.
• Develops and monitors operating budgets and coordinates purchase requirements.
• Producing regular reports and on a daily, weekly and monthly basis.

Administration:

• Implementation of the office administration policy procedures, participate in the annual procedures plan and roll the manual out and distribute it to other sub offices..
• Manage and ensure the efficient operation of staff travel and booking and international staff government liaisons, visa entry, exit re-entry visa, final visa and passport registration.
• Review adequacy of space requirements and identify appropriate office and staff housing.
• Negotiate rental agreements and oversee preparation of rental agreements and ensure timely of landlord.
• Co¬ordinate operations activities between sub-offices and the country office in Khartoum.
• Provide leadership and support to all and expatriates staff in term of government procedures, passport
• Manage leases and premises.
• Monitor and review the different operations contract.
• Organize other events on hotel and conference hall. and the banquet or catering services, reserve video or audio, equipments and plan any changes to the configuration the event space.
• Coordinate with finance and program the admin budgeting and maintain a monthly report.
• Perform other duties as assigned.
