- Manage the coordination of the PFMA training program in line with technical objectives and identified training needs
- Coordinate events, meeting, and logistics for in house and external events which include conference room reservations, arranging for meeting refreshments, notification to members, distribution of meeting materials and minutes, and confirming participant reservations and attendance
- Support, organize, and facilitate training events, including management of project inventory required for specific training activities
- Support development of relevant training materials, program documentation, and lessons learned
- Support the preparation of activity stationary, printing, and media supplies to be available for the technical team on time
- Work closely with the technical and M&E teams to provide documents related workshops, meetings, and training events including participants details and proofs of attendance, as needed
- Maintain accurate and complete operational record-keeping and filing systems.
- Assign project resources, such as project vehicle, driver, taxi to/from the airport, and check-out of project equipment such as laptop or camera.
- responsible for recording required items in the inventory module in TAMIS, and that a Goods Delivery Receipt is signed by the recipient, demonstrating receipt, inspection, and acceptance.
- coordinating vehicles and supplies, equipment checkout, and drivers.
- Coordinate with the office boy to unlock and open office daily according to work week and work hours as established in the policy.
- Document the fuel coupon serial numbers and related information in the Fuel Record Book
- Discuss with Security Guards concerns or problems encountered during the night, reporting any problems immediately to the Senior Procurement Admiration and HR Manager.
- Responsible for stock inventory of office and kitchen supplies
- Attend the meetings and take action point then share them with the COP and the team.
