Monitor the daily schedule of the Manager and furnish required information/documentation for meetings/appointments, by co-ordinating with sources within and outside the Department.
Provide secretarial services to the Manager by attending to routine administrative paper work.
Screen incoming mails and telephone calls, action responses, re-direct correspondence and collate to the appropriate person obtaining additional information where necessary.
Supervise the Department's attendance records, overtime claims and verify such claims where necessary and ensure that overtime claims are processed and forwarded to Salary Admin Department for payment.
Be fully conversant with the activities of the organisation in order to liaise effectively with senior executives and external contacts on behalf of the Manager.
Maintain Petty Cash accounts by verifying authenticity of claims ensuring figures are accurately recorded. Control and handle cash transactions to bring accounts to balance.
Due to the Recession at the time, HR seconded staff to various other departments within the company to avoid redundancy and the exposure or experience in Medical Insurance was a benefit of this.
1. Independently handle the generic mailbox as well as all telephone queries pertaining to the Medical Insurance Scheme as well as Medical /Dental claims. Escalation of any special issues outside the Policy to the next higher level.
2. Processing of Medical Claims and Invoices i.e. Data entry as well as reconciliation of figures to ensure correct amounts for billing, and reimbursement to, or reclaiming from the employee as well as Medical Care Providers.
3. Conducting Medical Briefings independently on all aspects of Medical Insurance Coverage for two key segments of employees in the EK Group i.e. Cabin Crew as well as EK 07-08/equivalent grades( Officer/Specialist grades)
1. Organisation of Pre- Administration Recruitment i.e. Issuance of email invitations to prospective Cabin Crew and related Correspondence.
2. Organisation of Post-Administration Recruitment in terms of creating the files and forwarding for the necessary Approvals.
3. Maintenance of data in relation to statistics for recruitment campaigns as well as payouts to agencies for services rendered.
4. Providing support to assigned Recruitment agencies for status of Approved candidates and addressing individual Agency concerns.
1. As team leader ( on rotational basis ), administered 04-05 member teams ensuring fair work allocations, completion of daily ticketing assignments, referral of system discrepancies to the appropriate departments and suggestions for improvements wherever needed.
2. Greeted and assisted staff customers at the counter ensuring a friendly courteous yet professional approach in all transactions.
3. As a call centre agent, responded to staff queries in an efficient manner minimizing officer/supervisor involvement.
4. As consultant evaluated the cheapest, most economical route for staff passengers traveling to/from non Emirates destinations while ensuring customer satisfaction.
5. Organised reservations and ticket issuance for company staff on Duty/Contractual /Annual Leave/Concessional/Joining and Repatriation travel ensuring minimal costs to the company.
1. Addressing all telephonic queries from prospective clients as well as Travel agents in a professional manner.
2. Creation of bookings as per the DNATA guidelines, ensuring that all requisite date has been filed under the booking and that passengers are asked for any special preferences that they have for meals and seating.
3. Promotion of sales and services provided by DNATA for new bookings.
